The Office of the Chief Electoral Officer (Elections Ontario) is an independent, non-partisan office of the Legislative Assembly of Ontario, responsible for administering provincial elections, by-elections, and referenda in Ontario. Join our team

The Communications division is seeking a skilled and highly motivated bilingual – English and French – receptionist and administrative support professional. As the Bilingual Receptionist/Administrative Support, you will provide front desk reception services and clerical and administrative support to Elections Ontario. This individual is often the first point of contact for our stakeholders and must always exhibit professionalism and excellent customer service.

What to expect in this role

Reporting to the Manager, Communication Support Services, you will:

  • Log and admit visitors and provide them with temporary security passes.
  • Log and distribute mail and written correspondence.
  • Respond to and/or redirect telephone and email queries.
  • Flag emerging issues, high call volumes and trends.
  • Maintain and update shared intranet site for the division.
  • Provide French translation and proofreading support to the division.
  • Provide administrative support to the manager(s) and director for the division, including scheduling and logistics, assisting with the preparation of agendas, minutes, and other documents.
  • Responsibly handle confidential information and documents.
  • Provide support to Human Resources during the hiring process.
  • Other administrative duties as assigned.

What you need to qualify

  • Advanced oral and written French and English language skills commensurate with Ontario government standards.
  • Experience in a professional administrative or call-centre environment.
  • Proven ability to respond to diverse stakeholders with accurate and timely information.
  • Strong oral and written communication skills.
  • Experience writing, editing, and proofreading confidential documents, presentations, and briefing notes.
  • Superior organizational and interpersonal skills.
  • Proficiency in MS Office.
  • Must be legally entitled to work in Canada.

The successful candidate will be required to work in-office.

COVID-19

Elections Ontario workers are required to be fully vaccinated with a COVID-19 vaccine series, subject to protected grounds outlined in the Ontario Human Rights Code. If not fully vaccinated, workers will be required to provide ongoing proof of a COVID-19 test (rapid antigen test) showing a negative result within 48 hours prior to entering the workplace.
