Description

Objective:

To lead the end-to-end technical implementation of a new Applicant Tracking System that supports the firm’s recruitment operations, enhances candidate and client experience, and integrates with existing business systems.

Key Responsibilities:

  • Project Planning
  • Work alongside the Project Lead and be the liaison between business stakeholders, IT, and the ATS vendor.
  • Work with the Project Lead and Project Manager to develop and maintain the project plan, timeline, and deliverables.
  • Facilitate implementation kickoff, stakeholder alignment, and regular status updates.

  • Data Migration Approach
  • Inventory existing data – and identify all sources (legacy ATS, spreadsheets, Sharepoint) and assess data type
  • Evaluate data completeness, consistency and accuracy
  • Define scope of what data will be migrated
  • Create a detailed data mapping document that will align legacy fields with new ATS schema
  • Guide the team to clean data
  • Collaborate with technical team to run test migrations and validate field mappings
  • Help define the timing and sequencing of final data migration and system switchover

  • Configuration & Customization Oversight
  • Translate business requirements into system configurations.
  • Collaborate with vendor and internal teams to design custom workflows, fields, and user roles.
  • Collaborate with vendor to set up reporting.
  • Ensure compliance with data privacy, security, and regulatory standards.

  • Integration Management
  • Define integration architecture and data flow between ATS and other systems (M365, SAP)
  • Coordinate API development, middleware setup, and testing.
  • Validate integration performance and troubleshoot issues.

  • Testing & Quality Assurance
  • Develop test cases and lead user acceptance testing (UAT).
  • Track and resolve defects and enhancement requests.
  • Ensure system meets business and technical requirements before go-live.

  • Training & Change Management
  • Develop training materials and conduct sessions for recruiters, hiring managers, and admins.
  • Support change enablement efforts to drive adoption and minimize disruption.
  • Provide post-launch support and feedback collection.

  • Reporting & Continuous Improvement
  • Define reporting requirements and dashboards for recruitment metrics.
  • Monitor system performance and user feedback post-implementation.
  • Recommend enhancements

Qualifications:

  • 10+ years in software implementation projects, preferably in ATS or HRIS implementations
  • Strong understanding of recruitment workflows and staffing operations
  • Proven experience with system integrations and API management
  • Strong interpersonal skills, commitment to collaboration, good judgment, analytical skills, and creative problem solving
