We are seeking an Operations Associate who will play a central role at the intersection of client service, operations, and planning support. This position is essential to the day-to-day functioning of our advisory practice. You will manage the operational and administrative tasks needed to onboard clients, maintain accounts, execute service requests, and support the delivery of a consistent, exceptional client experience. The role also provides essential operational redundancy for cash management and trading when required.
In this role, you will gain exposure to all aspects of high-net-worth client service and investment operations. You will work closely with advisors, contribute to service workflows, ensure accuracy in all documentation, and support a planning-first approach. This is an ideal role for someone who enjoys structure, responsibility, and performing at a high professional standard. It also offers long-term growth opportunities within a sophisticated, modern advisory environment. Licensed or previously licensed candidates will be given strong preference.
Your primary role
Client Service and Administration
- Lead the administrative side of onboarding new clients
- Prepare, submit, and track all client documentation
- Process transfers, KYC updates, beneficiary changes, and systematic plans
- Prepare materials for client meetings and manage follow-up items
- Support a clean and consistent client service workflow for high-net-worth households
- Maintain accurate CRM records and monitor open tasks
Operations and Workflow Management
- Become the primary operational support for our advisory team
- Maintain and improve internal workflows, templates, and checklists
- Coordinate service tasks, including planning, investment reviews, and tax-related items
- Keep the team organized through clear communication and process ownership
- Ensure timely execution of advisor follow-up items
Cash Management and Trading Support
- Process EFTs, contributions, withdrawals, and transfers
- Monitor daily cash levels and exceptions
- Support model trades and discretionary portfolio workflows
- Prepare RRSP, TFSA, RRIF, and LIF administration
- Act as the primary backup to our senior cash and trading specialist, with the ability to fully cover cash and trading responsibilities during absences.

Required
- 3 to 5+ years of administrative experience in financial services with a CIRO dealer member.
- Strong understanding of transfers, EFTs, and registered plan rules.
- Comfortable with documentation and direct client communication.
- Strong skills with Microsoft 365 (Outlook, Word, Excel) and PDF tools.
- Able to manage competing priorities without sacrificing accuracy.
- Naturally organized and enjoys working in a structured environment.
- Comfortable taking ownership of recurring workflows.
- Strong written and verbal communication skills.
- Interested in long-term growth within a growing advisory practice.
Preferred
- Familiarity with Salesforce or other CRM systems
- Canadian Securities Course (CSC) completed or in progress
- Experience with trading support, cash management, or PM/discretionary workflows
- Experience working with high-net-worth clients or corporate accounts
- Confidently stepping into cash and trading responsibilities when required
Licensed assistants or candidates with licensing experience will be strongly prioritized.
