Role Overview

The Document Control Specialist is responsible for leading document governance across Kinterra Corporate and its Portfolio companies. This role ensures that all technical, regulatory, and contractual documentation is controlled, compliant, and accessible, while driving continuous improvement in document management systems and processes. The Document Controller acts as the subject‑matter expert for document control practices and provides guidance to teams across Corporate and Portfolio companies.

The position focuses on governance, technical assurance, integration, and value optimization rather than detailed design execution.

Role-Specific Accountabilities

  • Lead the document control function across multiple various departments at Kinterra corporate and portfolio companies.
  • Develop, implement, and maintain document control procedures, standards, and workflows according to best practices.
  • Oversee the management of engineering drawings, HSE documentation, QA/QC records, permits, contracts, and operational procedures.
  • Ensure strict version control, approval tracking, metadata accuracy, and audit readiness.
  • Manage document transmittals and communication with EPCMs, contractors, vendors, and regulatory bodies.
  • Conduct regular quality checks and internal audits to ensure compliance with company and regulatory requirements.
  • Administer document management systems such as SharePoint(Aconex & EDMS yet to be implemented), including configuration, permissions, and troubleshooting.
  • Provide training, coaching, and mentorship to junior document controllers and administrative staff.
  • Support project close out activities, including final documentation packages and archival.
  • Identify opportunities to streamline workflows and enhance document control efficiency across the organization.
  • Collaborate with engineering, operations, HSE, procurement, and project management teams to ensure timely information flow.

Qualifications & Experience:

  • Diploma or degree in Records Management, Business Administration, Engineering Administration, or related field.
  • 5-10+ years of document control experience, with at least 3 years in a senior or lead role within mining, construction, or heavy industry.
  • Advanced knowledge of document management systems and document control best practices.
  • Strong understanding of mining regulatory requirements, safety documentation, and engineering workflows.
  • Proven leadership skills with experience mentoring or supervising others.
  • Exceptional attention to detail, organizational skills, and communication abilities.
  • Experience supporting large scale capital projects or operational mining environments is an asset.
