POSITION MANDATE
RAYHAWK is looking for a highly organized and proactive Project Administrator to support multiple teams across the organization. This is a temporary full-time position on a six-month term, with the possibility of extension.
This role is central to day-to-day execution—supporting project coordination, materials tracking, and administrative tasks to ensure projects move forward efficiently and teams remain aligned. The ideal candidate is detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment.
REPRESENTATIVE DUTIES
Project & Materials Support
- Track ordered parts and perform vendor follow-ups on deliveries
- Receive shipments, match packing slips to purchase orders, and maintain traceability
- Allocate parts to correct shelves, bins, and deployment kits
- Verify completeness of parts ahead of builds and site deployments
- Identify and communicate shortages or discrepancies early
Administrative & Cross-Functional Support
- Provide administrative support across cross functioning teams and operations
- Assist with document control, tracking logs, and internal reporting
- Support project coordination, readiness checklists, and follow-ups
- Help maintain consistency across internal processes and workflows
EDUCATION AND EXPERIENCE
- Ability to manage multiple projects and shifting priorities
- Clear communicator with a proactive, problem-solving mindset
- Comfortable working cross-functionally in a growing organization
- Experience in project administration, logistics, or operations support is an asset
- Familiarity with POs, inventory tracking, or ERP systems is an asset
- Ability to safely lift, carry, and move materials and equipment as required for the role
- Tasks may involve lifting items up to approximately 25–50 lbs on an occasional basis
- Ability to stand, walk, bend, and work in a warehouse or shop environment

The incumbent works in an office/lab environment.
