Our Client

Our client is a well-established, purpose-driven organization in the pension and investment space, operating in a growing, entrepreneurial environment. The organization is headquartered in downtown Toronto and follows a highly flexible hybrid work model.

This is a contract opportunity with an expected initial commitment of 3–6 months, with the potential for extension. The role supports the Legal team as a shared resource rather than working one-to-one with a single executive.

Responsibilities

• Provide day-to-day administrative and operational support to the Legal and Governance team

• Support legal operations across a team of approximately 10 professionals

• Manage shared inboxes and coordinate incoming legal requests

• Organize and maintain legal files, document repositories, and contract records

• Draft, format, proofread, and circulate legal and governance documentation

• Lead NDA intake processes and support NDA reviews and tracking

• Coordinate calendars, meetings, events, team lunches, and internal initiatives

• Track regulatory updates and assist with gathering information from the external legal landscape

• Prepare materials for meetings, maintain action items, and follow up on next steps

• Support internal expense reporting, travel coordination, and logistics as required

• Assist with internal events and cross-functional initiatives

• Provide backup support to other administrative professionals during absences, as needed

• Adapt quickly to evolving priorities and shifting workflows in a growing organization

Requirements

• 5+ years of proven experience supporting legal teams in a corporate or professional environment

• In-house legal support experience

• Experience drafting, reviewing, and formatting legal or governance documentation

• Strong organizational skills with the ability to manage competing priorities independently

• High attention to detail and strong follow-through

• Clear and professional written and verbal communication skills

• Comfort managing calendars, inboxes, and document workflows for multiple stakeholders

• Strong proficiency with Microsoft Office (particularly Outlook, Word, and PowerPoint)

• Experience working with document or knowledge management systems is an asset

• Confidence working in a lean environment without rigid processes or playbooks

• Professionalism, discretion, and sound judgment when handling confidential information

• Self-starter mindset with the ability to problem-solve and take ownership

• Comfort working in a hybrid environment with an in-office expectation
