Role Overview:

Our Toronto, Calgary, or Vancouver office is currently seeking a Specialist, Proposals & Pursuits in our Marketing & Business Development, reporting to our Director, Proposals & Pursuits. The Specialist, Proposals & Pursuits supports the firm’s national proposal function by managing the intake, scoping, development, and delivery of high-quality proposals, pitches, and pursuit materials. Reporting to the Director, Proposals & Pursuits, this role is responsible for coordinating the full lifecycle of assigned proposals—from initial assessment through drafting, stakeholder coordination, submission, and post submission follow up. The Specialist works closely with partners, finance, knowledge management, and business development colleagues to ensure that each proposal is accurate, compelling, and aligned with client needs and firm priorities. This role also contributes to the ongoing improvement of proposal processes, content, and tracking systems.

The successful candidate will be responsible for:

Proposal Development, Drafting & Coordination

  • Proposal intake and scoping: For proposals assigned by the Director, analyze RFP instructions, evaluation criteria, and submission formats to define deliverables and project plans.
  • Stakeholder engagement: Coordinating with partners, practice groups, finance, and knowledge management to gather required inputs and clarify strategic direction, including incorporation of fee structures, assumptions, and value-based pricing elements into proposals.
  • Timeline and workflow management: Maintaining schedules, tracking milestones, and ensuring all components are delivered on time.
  • Proposal drafting: Leading the drafting of assigned proposals, pitches, capability statements, and related materials, ensuring clarity, accuracy, and alignment with firm messaging.
  • Content customization: Tailoring firm experience, team bios, case studies, and value propositions to meet client specific needs, including conveying data through graphic elements where appropriate (with support from our graphic design team).
  • Quality control: Ensuring submissions comply with RFP requirements, brand standards, and best practices.

Process Improvement, Tracking & Knowledge Management

  • Proposal tracking: Maintaining accurate records of proposal activity, deadlines, outcomes, and feedback.
  • Post submission follow-up: Coordinating debriefs, gathering insights, and updating internal systems with results and lessons learned.
  • Data and analytics support: Contributing to reporting on win/loss trends and proposal performance metrics.
  • Content repository maintenance: Updating and refining proposal content, including boilerplate language, experience summaries, and team profiles.
  • Experience database support: Assisting in enhancing and maintaining the firm’s experience database to ensure accuracy and usability.
  • Knowledge management liaison: Working with colleagues and lawyers to ensure proposal content reflects current firm capabilities, precedents, and market insights.
  • Template and tool enhancement: Support the development and refinement of templates, checklists, and process documentation.
  • Adoption of best practices: Contribute ideas and feedback to strengthen the firm’s overall pursuit strategy and proposal quality.

The successful candidate must have the following education, experience and/or demonstrated skills:

  • 3–6 years of experience in proposals, pursuits, business development, or marketing, ideally within a professional services or legal environment.
  • Strong writing, editing, and storytelling skills with the ability to translate legal and technical information into clear, client‑focused content.
  • Excellent project management and organizational abilities, with comfort managing multiple deadlines.
  • Experience working with proposal tools, content repositories, or experience databases.
  • Strong interpersonal skills and the ability to collaborate effectively with partners and administrative teams.
  • Familiarity with pricing concepts, fee structures, or financial inputs considered an asset.
  • Proficiency with Microsoft Office and comfort learning new systems; experience with Adobe Creative Suite is an asset.

Employment Type: Permanent, Full-Time

Salary Range: $82,000 – $98,500 Annually
