Senior Administrative Coordinator/Project Assistant
Toronto West – parking available
12 month contract -$36.00 – 40.00 hour

We’re seeking a dynamic Administrator to join an incredible team in an exciting and growing industry. This is a new and pivotal role that will provide broad exposure to operations and management within a fast-paced, evolving environment.
You’ll play a key role in supporting Directors and their leadership teams — ensuring that day-to-day operations run smoothly, systems stay efficient, and projects move forward successfully. What You’ll Do
In this role you will provide comprehensive administrative and operational support across multiple areas, including:
- Improve processes: Evaluate office procedures with a focus on innovation and continuous improvement, recommending and implementing enhancements where needed.
- Manage schedules & events: Coordinate departmental meetings, special events, and off-site activities — including logistics, agendas, presentations, minutes, and follow-ups.
- Provide financial support: Assist with department budgets, expense tracking, invoice processing, and reporting.
- Coordinate projects: Contribute to initiatives ranging from event planning to contract management, ensuring key deliverables are met.
- Maintain accuracy: Prepare and process requisitions, expense reports, and monthly operating expense tracking.
- Build relationships: Establish and maintain strong working relationships with key internal and external stakeholders.
- Collaborate: Work closely with the Executive Assistant and departmental leaders to align priorities and support organization-wide goals.
- Be the department ambassador: Serve as the point of contact for internal and external inquiries, promoting professionalism and consistency.
- Records management: Maintain and organize departmental records in SharePoint and other retention systems to ensure compliance and easy access.
What You Bring
- Completion of secondary school or a combination of relevant education and/or experience
- Minimum 3 years of office administration experience, providing support in a senior-level environment
- Demonstrated experience working in a customer-centric, fast-paced environment
- Excellent communication, organizational, and time management skills
- High level of discretion when handling confidential information
- Proven ability to manage multiple priorities and respond effectively to changing demands
- Ability to obtain and retain Transportation Security Clearance
