Tammy Boyko and Carlan Wilbon are partnering with a well-established Winnipeg organization to hire an Office Coordinator for a six-month term, starting immediately. This role is essential to the smooth day-to-day operation of the office and supports a productive, organized, and welcoming workplace.

Key Responsibilities
- Act as the primary point of contact for employees, vendors, contractors, and building management, including supporting colleagues across Canada and internationally.
- Maintain a full-time on-site presence assisting with office access, inquiries, and day-to-day support.
- Coordinate with building management on maintenance, repairs, cleaning, security, and general facility needs.
- Manage office operations, including supplies, inventory, mail, couriers, and administrative processes.
- Provide clerical support such as reporting, benefits administration, billing, filing, and payroll coordination.
- Handle communications across phone, email, and mail.
- Organize meetings and catering, tracking related expenses.
- Support onboarding of new hires and promote effective office communication and procedures.
- Ensure compliance with health, safety, and workplace policies.
- Manage vendor relationships and accounts payable, including invoice tracking, reconciliation, and timely payments.
- Maintain accurate documentation, including the Reception Desk Manual.
- Provide general administrative support as needed.
Qualifications
- 3+ years of experience in office coordination, administration, or facilities support
- Strong organizational, communication, and multitasking skills
- Proficiency in Microsoft Office (Outlook, Excel, Word, Teams)
- Experience with vendor coordination and accounts payable
- Professional, proactive, and detail-oriented with a customer service mindset
- Ability to handle confidential information and work fully on-site
