Records Management Technician job opening in Toronto, ON

Location: Downtown Toronto

Employment Type: Full-Time, Temporary, 8am – 4pm, 1 hour lunch

Pay Rate: $25-30/hr plus 4% vacation pay on top of this

About the Role

We are seeking an experienced, highly organized and detail-oriented Records Management Technician to join our team and support our records and information governance operations. This temporary, full-time role is ideal for someone who excels in structured environments, works well with both digital and physical information, and is committed to maintaining secure and compliant recordkeeping practices.

Key Responsibilities

  • Manage the full lifecycle of client and administrative records, including the creation, classification, storage, maintenance, and final disposition, in alignment with internal policies.
  • Coordinate the transfer and retrieval of files from offsite storage vendors, ensuring timely and accurate movement of materials.
  • Handle both electronic and paper records, including applying legal holds and maintaining proper documentation.
  • Oversee the secure exchange of sensitive documents and maintain clear, auditable chain‑of‑custody tracking.
  • Follow established retention policies, ensuring records are preserved or securely destroyed according to approved schedules.
  • Assist in preparing documentation and records for regulatory reviews, internal audits, and litigation-related requests.

Qualifications

  • At least 3-5 years experience in records management, information governance is required; strong preference given to those with related law firm experience.
  • Familiarity with records retention policies, document security, and information handling best practices.
  • Comfortable working with records management systems, databases, and standard office software.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and ability to follow structured processes.
  • Initiative, driven and takes pride in their ability to turn requests around efficiently and effectively in a time-sensitive environment.
  • Ability to lift and move boxes of records as needed.
