Description
The Producer at Tripwire Media Group is responsible for the day-to-day execution of the production lifecycle across all active projects, from initial scheduling and pre-production coordination through to on-set operations and delivery. Working closely with department leads, the accounts team, and clients, the Producer is the operational engine that keeps projects moving on time, on budget, and on brief.

Key Responsibilities
Project Scheduling & Planning
- Create and maintain project schedules (tentative and confirmed) for all active projects using Productive.io, in collaboration with project leads.
- Continuously adjust schedules in response to new information from accounts, clients, and project leads, ensuring milestones are met and delays are communicated promptly.
- Confirm departmental tasks and milestones for each project by working with animation, creative, and production project leads.
- Send out all project greenlight communications, notifying the team, sharing key documents, and outlining next steps.
- Delegate tasks to supporting team members as needed, providing clear direction and following up to ensure completion.
Budget Management & Invoice Processing
- Monitor project spend throughout the project lifecycle, tracking costs against approved budgets and flagging potential overages to Accounts early.
- Receive, review, and process project-related invoices, including cast, crew, locations, and production expenses, entering them into Productive and filing supporting documentation on SharePoint.
- Keep the Executive Producer and Account Manager informed of invoice status and any budget implications as they arise.
- Review and approve project-related costs including vendor fees, equipment rentals, and incidentals, in collaboration with Accounts.
- Review OT requests against budget availability, working with Accounts to explore scheduling alternatives before approving or denying.
- Collaborate with Accounts on budget decisions as projects evolve, providing production insight to inform financial trade-offs and client conversations.
- Attend monthly Project Reconciliation meetings with Accounts and the Executive Producer to review project financials, close out completed projects, and flag any outstanding budget items.
On-Set Operations
- Attend most shoots as the on-set operational lead, managing the day from call time through wrap.
- Ensure all required permits are applied for and approved in advance of shoot days.
- Ensure all location and talent release forms are signed prior to or on the day of the shoot.
- Manage time on set in coordination with the DP and/or Director and crew to keep the day on schedule.
- Act as cast and talent wrangler and oversee green room setup as needed.
- Prepare, coordinate, and distribute call sheets to cast, crew, and clients.
- Organize craft services for all shoot days, scaling appropriately to crew size.
Crewing
- Identify and confirm crew requirements for each project in collaboration with project leads and the accounts team.
- Source, reach out to, and book freelance crew as needed based on project scope and budget.
- Maintain and update Tripwire’s crew contacts list, ensuring key relationships are documented and accessible.
- Coordinate crew logistics including availability confirmations, role assignments, and communication of shoot details.
Casting & Talent Coordination
- Issue casting calls to agencies based on project requirements; collect and organize headshots and self-tapes for Accounts to present to clients.
- Maintain ongoing communication with cast from initial engagement through shoot day, ensuring they have all necessary resources (scripts, dates, location info, etc.).
- Coordinate and book hair and makeup for applicable shoots.
Location Coordination
- Research, identify, and secure shoot locations based on creative requirements and budget.
- Coordinate and schedule location scouts for the production team and relevant stakeholders.
- Obtain all necessary location permits and ensure location agreements and release forms are completed prior to the shoot.
- Manage communication with location contacts throughout the production process.
Pre-Production & Client Meetings
- Coordinate all client Creative Kick-Off meetings: scheduling, note-taking, and ensuring all critical project information is documented in the Creative Brief.
- Book internal Pre-CKO briefings with the TMG team as needed to prepare ahead of client-facing meetings.
- Book and lead Pre-Production Meetings following creative lock, ensuring the full team is aligned on the production plan.
- Book pre-interviews for unscripted projects, coordinating between the Creative Lead and interviewees.
Internal Meetings & Communications
- Lead and facilitate Daily Huddles, setting the agenda, tracking deliverables, recording action items, and following up to ensure resolution.
- Co-facilitate Flags & Fires meetings with Accounts each week; distribute notes and action items as needed.
- Provide ongoing capacity guidance to Accounts regarding new project intake, team workloads, and scheduling impact, always solution-oriented.
- Push back constructively when project requests conflict with team capacity or timelines, offering alternatives rather than flat refusals.
Skills and Qualifications
- Proven experience in a producing or production coordination role, ideally within a creative agency or video production environment.
- Strong organizational skills with the ability to manage multiple projects and competing deadlines simultaneously.
- Solid understanding of video production workflows across live-action and animation formats.
- Experience with on-set operations including scheduling, permitting, crewing, and talent coordination.
- Proficiency with production scheduling and project management tools (Productive.io) and Microsoft 365 (Outlook, Teams, SharePoint).
- Comfortable working directly with clients in a professional, clear, and responsive manner.
- Experience tracking project budgets, processing invoices, and flagging financial risks within a production context.
- Confident delegator, able to assign tasks clearly, support team members effectively, and follow through to completion.
- Collaborative, solutions-focused mindset with a calm, constructive approach under pressure.
- A creative spirit with a genuine curiosity for storytelling, always willing to ask “what if?” and bring that energy to the work.
