Role Overview:
We are currently seeking a Document Specialist to join our Document Production Department for an afternoon/evening remote position supporting our Toronto, Calgary, and Vancouver offices. While this position is remote, the candidate must be able to travel to one of our offices (Toronto, Calgary, Vancouver) as you may be required to come into the office based on business needs. The ideal candidate will demonstrate strong interpersonal skills, initiative, and the ability to work both independently with minimal supervision and collaboratively within a team environment.
The successful candidate will be responsible for:
- Correcting/Formatting corrupted documents.
- Troubleshooting technical issues with documents.
- Revising documents as per professionals’ mark-ups.
- Blacklining using Litera and/or Word Compare.
- Converting documents from various versions to Word using styles and cross-references.
- Converting PDFs to Word with proper formatting (if requested) as well as conversions to PDF from Word, Excel, etc.
- Manipulation of PDF documents (redacting, reducing size, adding text, etc.).
- Knowledge of mail merge.
- Working within Excel/PowerPoint documents.
- Creating org charts (using Jigsaw, Visio or PowerPoint).
- Document assembly (Motion Records, BOAs, Factums, etc.)
- Compiling closing books using Closing Folders.
- Transcribing documents including letters, memos, and correspondence or copy-typing handwritten notes.
- Coding documents in Ipro Eclipse.
- Providing support to lawyers, articling students, law clerks and staff as required and requested.
The successful candidate must have the following education, experience and/or demonstrated skills:
- A minimum of 5 years as a document specialist in a similar environment.
- Advanced computer skills in Microsoft Word, Excel, PowerPoint, Visio, Kofax, Adobe Pro, iPro Eclipse, Litera, DocXTools, Internet applications and digital dictation software.
- Knowledge of Jigsaw, an asset.
- Strong administrative and organizational skills as well as above average attention to detail.
- Ability to work under pressure, be flexible and adapt to changing situations easily.
- Ability to work well with all types of personalities and levels of responsibility.
- Ability to manage multiple priorities, meet deadlines and exhibit sound judgment.
- Exceptional communication skills.
- Excellent interpersonal skills and very customer-service oriented.
- Ability to take initiative, work with minimal supervision as well as work as part of a team.
Employment Type: Permanent, Full-Time
Salary: $70,000 – $80,000 Annually (Commensurate with experience)
Hours:
Monday to Friday: 12:00 pm – 8:00 pm EST
While this position is remote, the candidate must live in a city where they can commute to where we have an office (Toronto, Calgary, Vancouver) as you may be required to come into the office based on business needs.
