Brand Coordinator

The Brand Coordinator is responsible for supporting franchise operations, brand administration, operational initiatives, and cross-functional coordination. This role acts as a key liaison between franchisees, Operations, Legal, Construction, Franchising, Real Estate, and corporate teams to ensure the successful execution of franchise transactions, communication, renovation initiatives, franchise agreements, transfers, and new store openings. The Brand Coordinator will provide administrative, operational, and project support both at the Home Office and in the field as required.

Key Responsibilities

Franchise & Brand Coordination

  • Coordinate and arrange Brand Interviews with prospective franchise candidates for new locations and approved transfer opportunities
  • Follow up with prospective franchisees after Brand Interviews to obtain required documentation, including Business Plans, Proformas, and Marketing Plans
  • Assist the Legal Coordinator with obtaining required documentation for various franchise transactions through communication with franchisees via email and phone
  • Prepare and distribute Intent to Renew Letters, Non-Renewal Letters, and other franchisee communications as required
  • Follow up with franchisees to ensure full payment is received after agreements are executed for various transactions
  • Prepare Franchise Assistance Agreement (FAA) requests for applicable locations
  • Monitor and manage “At Risk” franchise locations and escalate concerns where appropriate
  • Maintain accurate franchisee records, transaction files, and operational documentation

Operations & Franchise Support

  • Support day-to-day operational activities for restaurant brands at the Home Office
  • Assist with the execution and rollout of operational initiatives, programs, and system implementations
  • Act as a liaison between corporate teams, field operations, franchisees, and cross-functional departments
  • Support operational performance improvement initiatives and escalate issues when necessary
  • Lead and/or support special projects and operational initiatives as assigned

Renovation Management

  • Manage the brand renovation tracker and maintain renovation status updates
  • Coordinate with Business Development Managers (BDMs) to obtain store photos/videos required for Internal Statements of Work (SOWs)
  • Compile renovation requirements and Internal SOW documentation for Director of Operations (DOO) review
  • Coordinate renovation timelines between Operations, Construction, and Franchisees
  • Submit Notices of Project (NOPs) for completed extension or transfer files requiring renovations

Reporting, Administration & Communication

  • Maintain and distribute supervision-related reports, dashboards, and performance summaries
  • Compile, organize, and maintain franchisee information, operational documentation, and records
  • Support data collection, analysis, and reporting for senior leadership review and operational planning
  • Organize and coordinate meetings, including scheduling, agenda preparation, meeting materials, and minutes
  • Record and distribute meeting minutes for internal and external meetings
  • Coordinate communication between internal departments, franchisees, vendors, and field teams
  • Support the SVP, Restaurant Brands and Operations leadership team with administrative and operational tasks as required

Working Requirements

  • This role requires attendance at the Richmond Hill office 3–4 days per week, as required
