Role Overview
Our Toronto office is currently seeking a Coordinator, Events & Client Experience to join Business Development & Marketing department, reporting to the Director, Business Development. The Coordinator, Events & Client Experience supports the delivery of high-quality, client-facing and internal experiences that strengthen relationships, enhance the firm’s brand, and advance business development objectives. Working closely with the Senior Specialist, Events & Client Experience and other members of the Business Development & Marketing team, this role provides hands-on coordination and execution support across a wide range of events, including seminars, conferences, client dinners, receptions, and virtual or hybrid programs. The coordinator plays an important role in ensuring consistency, professionalism, and attention to detail across all event touchpoints.
The successful candidate will be responsible for:
Event Coordination & Execution
- Supporting the planning and execution of client-facing events and sponsorship activations, from initial intake through post-event follow-up.
- Assisting with event logistics, including venue and vendor coordination, registration management, invitations and attendee communications, timelines, and on-site execution.
- Working with the Senior Specialist to support event intake and briefing processes, including gathering information on event objectives, audience, format, and requirements.
- Helping track tasks, timelines, and deliverables across multiple concurrent events to ensure deadlines are met.
- Assisting in preparing post-event materials, including attendance lists, basic reporting, and follow-up communications.
- Supporting the delivery of a consistent, high-quality client experience across all events, ensuring professionalism and attention to detail at every stage.
- Assisting with event materials, branding elements, signage, and overall presentation to ensure alignment with firm standards.
- Helping identify and address logistical issues proactively to ensure seamless execution.
Internal Events
- Assisting with the planning and delivery of select large-scale internal firm events, including holiday celebrations and select partner meetings.
- Collaborating with stakeholders across Business Development & Marketing, Human Resources, Professional Resources, and Facilities & Business Services to support event execution.
Client Gifting & Merchandise Program
- Supporting the execution of the firm’s client gifting and branded merchandise program, including inventory tracking, vendor coordination, and order fulfilment.
- Assisting in maintaining quality control and ensuring alignment with brand standards and approved guidelines.
Administration, Process & Continuous Improvement
- Maintaining event records, budgets, invoices, timelines, and related documentation with a high degree of accuracy and organization.
- Supporting post-event follow-up activities, including survey distribution, feedback collection, and basic reporting.
- Assisting in maintaining and updating event templates, checklists, and tools to support consistency and efficiency.
- Proactively seeking opportunities to improve processes and contribute to the evolution of event best practices.
- Participating in knowledge sharing and continuous improvement initiatives across the Events & Client Experience function.
- Working closely with the Senior Specialist, Events & Client Experience, receiving day-to-day guidance on event execution, prioritization, and quality standards.
- Demonstrating a strong commitment to learning, skill development, and progressively taking on more responsibility over time.
The successful candidate must have the following education, experience and/or demonstrated skills:
- A minimum of two (2) year of experience in event coordination, marketing, hospitality, public relations, or a related field with emphasis on work experience from corporate events in professional services. Related field experience (internship or co-op experience) will be considered.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- High attention to detail and a proactive approach to problem-solving and troubleshooting.
- Strong written and verbal communication skills.
- Ability to work collaboratively with a diverse group of colleagues and stakeholders.
- Willingness to take direction, ask questions, and learn new systems and processes.
- Comfortable working in a fast-paced, deadline driven environment and adapting to changing priorities.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with event registration or CRM tools is an asset but not required.
- Basic knowledge of event A/V requirements and webinar platforms (Microsoft Teams, Zoom).
- Basic understanding of catering and food & beverage, with familiarity with Toronto-area restaurants and venues.
Employment Type: Full-Time, Permanent
Salary: $51,000 – $61,000 Annually
