ZenaTech is seeking an organized, detail-oriented Talent Acquisition Coordinator to support full-cycle recruiting for our growing Enterprise SaaS, Drone as a Service, and corporate teams. Based in our Toronto office, this role will partner closely with recruiters, hiring managers, and candidates to ensure a smooth, well-organized hiring process across ZenaTech’s expanding global workforce, including support for newly acquired business units.
Key Responsibilities
- Coordinate interview scheduling across multiple time zones for candidates and hiring teams in North America, Europe, Taiwan, and the UAE.
- Manage requisitions, candidate pipelines, and interview stages within the applicant tracking system (ATS), keeping data accurate and up to date.
- Serve as a primary point of contact for candidates throughout the interview process, ensuring a positive and professional candidate experience.
- Post job openings across job boards, LinkedIn, and other recruiting channels, and help maintain ZenaTech’s employer brand presence.
- Support recruiters and hiring managers with resume screening, reference checks, and offer letter preparation.
- Coordinate onboarding logistics for new hires, including background checks, offer paperwork, and first-day preparation.
- Assist with integrating recruiting processes for newly acquired companies as ZenaTech continues its acquisition-led growth strategy.
- Track recruiting metrics (time-to-fill, source of hire, pipeline conversion) and prepare regular reporting for the Talent Acquisition team.
- Help organize and support participation in career fairs, campus recruiting events, and other talent sourcing initiatives.
- Maintain compliance with Ontario employment standards and ZenaTech’s internal hiring policies throughout the recruitment process.
Qualifications
- 1-3 years of experience in recruiting coordination, HR coordination, or a related administrative/HR support role.
- Strong organizational skills and comfort managing multiple requisitions and calendars simultaneously.
- Excellent written and verbal communication skills, with a professional, candidate-focused approach.
- Proficiency with Microsoft Office (calendar management, spreadsheets, documents).
- Ability to work effectively with distributed, cross-cultural teams across multiple time zones.
- A post-secondary diploma or degree in Human Resources, Business, or a related field
