Administrative Assistant

Burlington, ON / GTA

Full Time | In-Office | Burlington, ON

Over the past 30+ years, I’ve built a client-focused financial planning practice by earning trust, creating long-term relationships, and helping professional women and their families feel confident and supported as they navigate important financial decisions.

As the practice continues to grow, we are looking for a full-time Administrative Assistant to join our team in our Burlington office. This is a hands-on role where you’ll play an integral part in delivering an exceptional client experience by providing dedicated, high-quality administrative support and helping ensure our practice runs smoothly. This position would be suitable for someone looking to make a lateral move at a small, well-established firm.

We’re looking for someone who is committed to accuracy, has exceptional attention to detail, and genuinely enjoys helping others. You’ll become a trusted resource for our clients and team, taking pride in delivering outstanding service and supporting the day-to-day operations of our well-established, growing practice.

What you need:

·      3+ years of administrative experience, preferably in financial services, wealth management, insurance, or another professional office

·      Exceptional organizational and time management skills

·      Strong written and verbal communication skills

·      High level of professionalism, discretion, and attention to detail

·      Excellent client service and relationship-building skills

·      Proficiency with Microsoft Office (Outlook, Word, Excel) and the ability to learn new software quickly

Nice to have:

·      Previous experience in the investment or wealth management industry

·      Experience with CRM software and financial planning software

·      Experience scheduling meetings, managing calendars, and coordinating client communications

·      Experience supporting compliance, document preparation, and client onboarding

·      Knowledge of financial services administration and regulatory requirements

·      Mutual Funds licensed, or working on it

What we offer:

·      Full-time, permanent position based in our Burlington office

·      Competitive salary and benefits

·      A supportive, collaborative, and growing team

·      A workplace that values work-life balance and recognizes the importance of both personal and professional well-being

If you’re an experienced administrative professional with a positive attitude, strong initiative, a desire to learn, and a passion for exceptional client service, we’d love to hear from you!
