Position: Administrative CoordinatorLocation: Downtown Montreal (On-site, 5 days/week)Salary: Up to $55,000 annually (based on experience) + excellent benefitsWe are seeking a highly organized and detail-oriented Administrative Coordinator to join our team in downtown Montreal. This full-time, on-site position is ideal for someone who thrives in a fast-paced environment, is proactive in managing administrative tasks, and has strong interpersonal skills. You’ll play a key role in supporting both tenants and internal operations, ensuring smooth day-to-day functioning across administrative and property management processes.Requirements:- At least 3 years experience in an administrative role (real estate preferred)- Strong organizational and time management abilities- Proficiency with administrative and management tools (Hopem, P Drive, Tiplati, Nethris, Microsoft Word & Excel)- Ability to multitask and work under pressure to meet tight deadlines- Strong interpersonal skills for interacting with tenants and vendors- Solid understanding of administrative, lease, and accounting procedures (AR, AP)- Experience in HR and payroll processes (asset)Responsibilities:- Respond promptly to tenant communications via email and phone; maintain positive tenant relationships- Keep the tenant contact list up to date with accurate information (name, phone, email)- Maintain well-organized tenant files, with priority on those requiring regular follow-ups- Track ongoing leases and ensure timely distribution of legal documents- Review lease agreements prior to sending and follow up on unsigned documents- Manage rental inquiries and handle new tenant applications, including preparing proposals and lease offers- Make daily bank deposits (cheques, wire transfers)- Monitor tenant payments and send reminders for late or partial payments- Coordinate with vendors: follow up on service completion, manage invoices, and process payments through electronic systems- Maintain vendor profiles and records- Ensure all administrative files are organized and digitally stored, including leases, invoices, and correspondenceIf you’re a proactive, detail-oriented individual who excels in coordination and communication, we’d love to hear from you.
