Reporting to the Director, Strategic Initiatives, the Advancement Associate is responsible for duties that support the areas of donor relations, fundraising efforts, pipeline management, recognition program communications, stewardship reporting, gift implementation plans and logistics for donor stewardship meetings. Additionally, the incumbent will assist with supporting and fostering positive relationships with prospective and existing donors. As an important member of the Temerty Medicine Advancement team, you play a tangible role in shaping and advancing the future of healthcare.

Your responsibilities will include:

  • Supporting donor relations activities including fostering relationships with prospective and existing donors and contributing to plans for prospect identification, cultivation, solicitation and recognition
  • Implementing and supporting established stewardship program activities, including analyzing the impacts of completed stewardship programs
  • Supporting pipeline management for the Executive Director and Senior Director using Arbor
  • Providing administrative support for select committee and donor stewardship meetings including supporting meeting schedules, agendas, materials, briefing notes, action and follow-up items
  • Providing administrative support for all grant processes under Strategic Initiatives
  • Overseeing communications and marketing materials including leading the communications for recognition programs (i.e., Order of Canada, senior promotions, etc.) and drafting written materials for fundraising activities
  • Managing all content collection and drafting of reports for stewardship reporting program under Strategic Initiatives
  • Supporting gift implementation plans by tracking and monitoring timelines, managing deadlines, assisting with donor prospect engagement opportunities

Essential Qualifications:

  • Bachelor’s Degree or acceptable combination of equivalent experience.
  • Minimum four years of related administrative and communications experience in Advancement, donor relations, and/or stewardship activities, preferably in a post-secondary educational setting
  • Demonstrated experience with donor relations activities including proven success with fostering positive relationships with prospective and existing donors
  • Demonstrated experience with content organization and drafting annual stewardship reports
  • Experience supporting prospect identification, cultivation, solicitation and recognition
  • Demonstrated experience with providing administrative support for select committee and donor stewardship meetings including supporting meeting schedules, agendas, materials, briefing notes, action and follow-up items
  • Experience providing administrative support for special projects and grant processes
  • Experience overseeing and drafting communication and marketing materials for recognition programs and/or fundraising activities
  • Proven ability to collaborate with a variety of stakeholders i.e. donors, academic leaders, volunteers, and team members
  • Demonstrated experience with donor databases
  • Exceptional communication and interpersonal skills
  • Advanced proficiency with MS Office, and databases
  • Ability to work in a fast paced and results oriented environment
  • Strong team player who values collaboration
  • Strong organizational and analytical skills
  • Demonstrates initiative, tact, diplomacy, attention to detail and creativity

Assets (Nonessential):

  • Experience with Arbor and web reporting or a similar fundraising database
  • Knowledge of the Temerty Faculty of Medicine and its hospital partners
