Position title: Chapter Liaison and E-Learning Coordinator
Reports to: Director, People, Culture and Member Engagement
SUMMARY OF POSITION
The Chapter Liaison and E-Learning Coordinator supports the College’s 20 Chapters in delivering events, activities, and programs that advance member engagement, retention, and recruitment. The role focuses on building strong relationships with chapter volunteers, ensuring governance and reporting requirements are met, and supporting both Chapters and the National office in delivering webinars and maintaining the E-Learning Library. This position combines coordination, administration, and digital learning support to enhance the experience of Chapters and their members. While the work is virtual, applicants residing in the Ottawa/National Capital Region will be given preference. Applicants from outside the area, however, will also be actively considered.
KEY ACCOUNTABILITIES AND RESPONSIBILITIES
Chapter Support
- Serve as the primary liaison between the National office and Chapters, providing guidance and support to achieve their goals.
- Ensure educational, financial, and governance reporting requirements are completed and maintained.
- Assist Chapters with communications, marketing initiatives, and promotional materials.
- Support Chapters experiencing operational or volunteer challenges.
- Maintain Chapter web pages and digital platforms (e.g., SharePoint) to ensure information is current and accessible.
- Coordinate chapter events, registrations, and e-commerce to ensure smooth operations and attendee engagement.
Chapter Advisory Council (CAC) Support
- Provide administrative support for CAC members, including scheduling meetings, preparing agendas, compiling pre-meeting materials, recording minutes, and preparing reports.
- Assist with chapter funding processes and CAC initiatives.
- Participate in or lead working groups as required.
- Support the planning and execution of annual CAC meetings.
Event Coordination and E-Learning
- Coordinate and host College and Chapter webinars, providing technical support, training stakeholders on platform use, and ensuring successful delivery.
- Maintain the E-Learning Library and archived webinar content (YouTube, Vimeo, internal platforms).
- Support Chapters in accessing and using e-learning tools for events and member engagement.
- Assist with evaluation of events and webinars through surveys and reporting to inform future initiatives.
- Attend chapter events as required to provide on-site or virtual support.
Administrative
- Maintain chapter filing systems and digital platforms (SharePoint).
- Develop and distribute resources to assist chapter volunteers in fulfilling their roles.
- Support chapter surveys, elections, and the annual chapter award process.
- Prepare evaluation reports and analyses to inform decision-making and continuous improvement.
- Support the Director on ongoing initiatives and special projects as required.
- Provide administrative support to the annual chapter award process
QUALIFICATIONS
Education and Experience
- Certificate or degree in administration or a related field, or equivalent experience.
- Minimum of two years in a coordination role, preferably involving volunteer engagement.
- Experience with webinars, web content management, and database applications is an asset.
- Bilingualism (English/French) is an asset.
Skills and Attributes
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
- Excellent interpersonal and communication skills for working with volunteers, colleagues, and stakeholders.
- Proficiency in Microsoft Office (including SharePoint), association management systems, and web-based conferencing platforms.
- Ability to work independently and collaboratively within a team environment.
- Flexible and willing to travel as required.
- Demonstrated problem-solving skills and ability to identify opportunities for process improvement.
Salary range: $55,000 – $60,000
Contract: 1 year, full-time
