Summary:
The Client Onboarding Coordinator plays a critical role in delivering a smooth, professional, and positive onboarding experience for new Payments and Point-of-Sale (POS) clients.
As the first point of contact following signup, this foundational role ensures customers feel informed, supported, and confident in their solution before transitioning to ongoing support teams, laying the groundwork for long-term client success.
Key Responsibilities:
Client Onboarding & Welcome
- Conduct welcome calls with new clients following signup
- Review and confirm purchased hardware, software, and services for accuracy
- Guide clients through onboarding steps and next actions in a clear, friendly manner
Verification & Compliance
- Complete Know Your Customer (KYC) requirements, including:
- Verifying business information, ownership, and address
- Confirming business type and operating details
- Ensure all onboarding documentation and client profiles are accurate and complete
Training & Setup Coordination
- Schedule POS (Clover) training sessions with internal teams
- Answer basic questions related to POS hardware and software
- Make minor updates to client files to ensure accuracy
Communication & Follow-Up
- Send recap emails after onboarding calls outlining:
- What was reviewed
- Next steps
- Training details
- Maintain clear and organized records in internal systems
Internal Coordination
- Identify issues that fall outside onboarding scope and escalate appropriately
- Refer operational or account-related requests (e.g., shipping, banking changes, funding inquiries, ongoing support) to:
- Client Services
- Sales Support Coordinator
Qualifications/Experience:
- Entry-level or junior professional experience in a customer-facing role
- Experience in payments, fintech, SaaS, or POS environments is an asset
- Experience working with onboarding workflows or client documentation is an asset
Other Requirements:
- Strong verbal and written communication skills
- High attention to detail with strong organizational abilities
- Comfort with basic technical concepts related to hardware and software
- Ability to follow defined processes and escalate appropriately
