Our Ideal Candidate
We are currently seeking a Document Control Specialist who is eager to continue their career with our fast-paced, growing company while working alongside multiple divisions to deliver quality documentation to our outstanding clients. The successful candidate will report directly to the Document Control Manager and is accountable to Project Managers for meeting scheduled deadlines. The location is flexible.
A Day in the Life
- Provide routine quality checks on all outgoing documentation in accordance with established procedures.
- Adhere to Client specifications and requirements as required.
- Expedite the review and approval of engineering deliverables and vendor documentation.
- Transmittal creating and document submittals to clients and vendors.
- Assign numbers to all deliverables.
- Scan, save and file documents/drawings in Document Management System.
- File and Distribute information in accordance with approved processes and procedures.
- Perform regular quality audits of project document control functions to ensure consistent and effective service to the project.
- Respond to internal and external drawing and document requests.
- Effective and timely turnover as well as archiving of project records.
- Other administrative tasks as required.
What You’ll Bring to the Team
- A Minimum of 4 to 8 years of relevant experience in Document Control.
- Strong knowledge of EDMS and Collaboration software applications.
- Strong working knowledge of Microsoft Office suite and Adobe Acrobat Professional.
- Thorough knowledge and understanding of Vendor and Engineering documentation as well as related technical terminology.
- Excellent communication skills (both verbal and written).
- Service driven and customer focused.
- Self-motivated with a strong work ethic.
- Excellent organizational and coordination skills. Ability to adapt to tight deadlines, heavy workloads, and frequent changes in priorities.
- A technical diploma in records management or equivalent would be nice but not required.
