Weeve, a leading Canadian electric car subscription service transforming the rideshare industry, is looking for a Fleet Coordinator & Insurance Case Support Specialist to join our Montreal team. This full-time, in-person position is perfect for someone dedicated to learning, growing, and expanding their role as we scale.

Your Mission

You will play an important role in supporting the smooth operation of Montreal’s electric and hybrid vehicle fleet while assisting with insurance case management. Working closely with the National Fleet Director and operational teams, you will help ensure the fleet runs efficiently, customers receive timely support, and claims are managed carefully.

Your Profile

  • 2-5 years of working experience
  • Hard-working, attentive, and organized with the ability to manage multiple priorities.
  • A fast learner who is eager to grow and take on more responsibilities.
  • Dedicated and customer-focused with excellent communication and interpersonal skills.
  • Some experience or strong interest in the automotive industry, fleet management, logistics, insurance, administration or related areas.
  • Familiarity with electric vehicles, rental car agencies, rideshare, vehicle repairs or insurance is a plus.
  • Comfortable using technology.
  • Bilingual in French and English (required).

Your Responsibilities

Fleet Coordination

  • Help coordinate the EV and hybrid fleet across Greater Montreal (targeting 600 vehicles by September 2026), aiming to reduce downtime and keep maintenance costs low.
  • Schedule and track regular and preventative maintenance, tire changes, and safety inspections.
  • Assist in identifying and assessing vehicle issues.
  • Support the management of Montreal garage operations.
  • Help coordinate vehicle deliveries, pickups, and movements as needed.
  • Coordinate vehicle charging and cleaning with fleet contractors/car jockeys.
  • Track and assist with customer service appointment requests with the support team.
  • Provide prompt support for urgent vehicle issues such as accidents, flat tires, and mechanical breakdowns.
  • Collaborate with operations to prepare vehicles for delivery and perform pre-delivery and post-return inspections with customers.
  • Help maintain good relationships with repair shops, body shops, and OEM dealers for timely and quality service, under the guidance of the National Fleet Director.

Insurance Case Support Specialist

  • Assist customers in person, by phone, or email to follow up on accident reports.
  • Support the full process for the quick recovery of damaged vehicles, including claim follow-ups and coordination with evaluators and repair shops.
  • Help recover deductibles when applicable and track payments from clients responsible for incidents.
  • Assist leadership with data gathering for annual renewal processes and efforts to reduce costs.
  • Provide guidance and support to the customer service team on vehicle and insurance claim questions.
  • Identify areas for improvement and collaborate with teams to implement solutions.

Data Analysis

  • Use fleet management software to help analyze vehicle use, repair performance, and costs.
  • Generate reports and insights to help optimize fleet operations.

Administrative Tasks

  • Assist with processing fleet-related invoices.
  • Maintain accurate and up-to-date customer records in Salesforce CRM.

Regulatory Compliance

  • Stay informed about local regulations and requirements related to electric vehicles and rideshare services.
  • Support compliance efforts for fleet operations with applicable laws.
  • Help track SAAQ registration and Uber vehicle compliance.
