Role Summary:
We specialize in premium men’s apparel and have built a reputation for exceptional craftsmanship, innovation, and style. With an entrepreneurial culture rooted in creativity, collaboration, and performance-driven results, we’re looking for a Logistics Coordinator to manage inbound and outbound logistics, support quality control, and ensure alignment between vendors, warehouse operations, and internal teams to enable seamless, on-time delivery.
This is a temporary maternity leave coverage position with an assignment length of 12–14 months, with the possibility of extension.
Key Responsibilities:
Vendor & Logistics Management
- Manage all manufacturing partner relationships, including daily communications.
- Coordinate the end-to-end logistics process—from vendor readiness to warehouse delivery.
- Create and manage purchase orders; monitor fulfillment to ensure deadlines are met.
- Ensure accurate FOB costing data is up-to-date and accessible.
- Negotiate lead times, costs, and capacity bookings with vendors.
- Monitor vendor performance, ensuring timely delivery and alignment with quality and compliance standards.
- Maintain clear documentation and vendor communication logs for accountability and transparency.
- Forecast raw material requirements and ensure alignment with production schedules, where applicable to finished goods procurement.
Quality & Compliance Oversight
- Coordinate with factory QA/QC teams to ensure adherence to brand standards and compliance requirements.
- Review QC reports from vendors and escalate issues promptly.
- Resolve quality issues and implement corrective actions in collaboration with vendors.
- Ensure vendor compliance with ethical sourcing, labor laws, and sustainability requirements.
- Schedule and oversee all 3rd-party QC inspections.
- Develop and issue QC requirements per purchase order and ensure alignment with product specifications.
Inbound & Outbound Logistics
- Plan, track, and manage the inbound movement of finished goods from vendors to warehouses or distribution centers.
- Coordinate with freight forwarders, customs brokers, and shipping agents for timely import/export clearance.
- Maintain accurate shipping documentation (e.g., commercial invoices, packing lists, bills of lading) and ensure organized record-keeping.
- Monitor shipments in transit and proactively address delays or logistical challenges.
- Coordinate outbound shipments to retail stores, customers, and third-party partners, ensuring timely and accurate order fulfillment.
- Partner with logistics providers to optimize outbound shipping routes, methods, and costs.
- Troubleshoot outbound delivery issues and liaise with customer service and sales operations as needed.
Warehouse Management
- Oversee warehouse receiving and dispatch schedules to align with inbound and outbound logistics plans.
- Troubleshoot and resolve order/inventory issues flagged by customer support or sales.
- Monitor inventory accuracy through coordination with warehouse staff and WMS systems.
- Ensure proper labeling, storage, and handling of goods within the warehouse.
- Work with internal stakeholders to manage seasonal stock levels and space planning.
- Implement best practices in warehouse operations, inventory management, and order accuracy.
- Manage returns, rework, or damaged goods procedures in coordination with warehouse and customer service teams.
Internal Coordination
- Work closely with logistics, sourcing, sales, inventory, and finance teams to align on delivery timelines and operational priorities.
- Communicate key logistics updates to internal stakeholders and escalate issues promptly.
- Collaborate with the Sales Operations Manager to troubleshoot and resolve any delivery delays or product shortages.
- Support internal audits and maintain compliance with logistics and warehousing documentation standards.
- Represent logistics and vendor coordination functions in cross-functional meetings.
Reporting & Analysis
- Maintain accurate and up-to-date logistics and warehouse trackers.
- Track and analyze inbound/outbound shipment timelines, warehouse metrics, and vendor performance.
- Prepare weekly logistics and warehouse reports with actionable insights for internal and external stakeholders.
- Identify opportunities for process improvement and cost efficiencies across logistics and warehouse operations.
Qualifications:
- 2–4 years of experience in production coordination, inbound logistics, supply chain, or a related field—preferably in apparel, consumer goods, or manufacturing.
- Strong organizational and project management skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to collaborate effectively across teams and with external vendors.
- Proficiency in Microsoft Excel, ERP systems (e.g., Full Circle), and project management tools like Asana or Trello.
- High attention to detail and a proactive, solution-oriented approach to problem-solving.
- Understanding of quality control processes, purchase order management, and international logistics is a strong asset.
