Weโ€™re looking for a proactive and detail-oriented Administrative Assistant to keep our fast-growing startup running smoothly. Youโ€™ll be the operational backbone supporting the team with HR, accounting, payroll, logistics, and day-to-day admin tasks.

This is a key role for someone who thrives in a fast-paced, evolving environment and is excited to be part of a startup shaping the future of AI.

๐Ÿ›  Responsibilities

Office & Executive Support

  • Maintain internal documents, calendars, and schedules
  • Support leadership with meeting coordination and communication
  • Prepare reports, internal communications, and presentations
  • Accounting & Finance

    • Assist with basic bookkeeping and monthly expense tracking
    • Process invoices, receipts, and vendor payments
    • Coordinate with our external accountant for monthly closings
  • HR & Payroll

    • Maintain employee records and HR documentation
    • Support onboarding/offboarding processes
    • Assist with payroll processing and government filings (e.g. CNESST, Revenu Quรฉbec)
  • Operations & Tools

    • Manage subscriptions and SaaS tools (e.g. Notion, Slack, Google Workspace)
    • Help with document and contract management
    • Provide general administrative support to different departments
  • โœ… Requirements

    • 2-4 years of experience in an administrative, operations, or finance role
    • Excellent organizational and multitasking skills
    • Strong written and verbal communication (French and English)
    • Comfort with tools like Google Workspace, Notion, Excel/Sheets, and Slack
    • Basic knowledge of accounting principles and HR procedures
    • Ability to work independently and manage shifting priorities
    • Experience in a startup or fast-paced environment is a big plus
