Description
We are partnering with a leading wealth management firm to identify a strategic and detail-oriented Operations Manager. This is a key leadership role reporting to the COO, responsible for driving operational excellence, managing complex client service escalations, and improving workflows across teams.
As the firm continues to grow, this newly created role will play a critical part in strengthening the connection between client service, operations, and custodial partners. You will take the lead on resolving escalated issues, managing complex account transactions, and driving system and process improvements that support scalability, efficiency, and regulatory compliance.
Key Responsibilities
- Lead the resolution of escalated client service issues and complex multi-party transactions
- Act as a subject matter expert for internal teams on estate settlements, registered plans, tax documentation, and related matters
- Oversee data integrity, performance verification, and CRM reconciliations across platforms like Harmony and Salesforce
- Support and improve trade settlement, cash management, and reconciliation workflows
- Collaborate on technology enhancements and provide oversight for system releases and upgrades
- Provide backup support for the COO and help manage high-volume periods with a calm, solutions-oriented approach
- Manage custodian relationships and act as a liaison for trade, transfer, and settlement issues
- Contribute to process documentation, SOPs, and internal controls to support audit readiness and compliance
- Identify opportunities to streamline operations and enhance service delivery through automation or process redesign
- Support onboarding of new advisors or referral partners from an operational standpoint
Candidate Requirements
- 8+ years of experience in wealth management operations, with deep knowledge of account administration, trading, and client reporting
- Proven experience working with custodians (e.g., NBIN), portfolio management systems (e.g., Harmony), and client service teams
- Canadian Securities Course (CSC) is a strong asset
- Process-driven, detail-oriented, and capable of managing multiple priorities
- Strong communicator and team player who enjoys mentoring and supporting others
