RESPONSIBILITIES AND EXPECTATIONS

Payroll, Time and Attendance and Analytics

• Oversee the preparation and processing of bi-weekly payroll for both hourly and salaried

employees.

• Administer payroll and time and attendance functions, including inputting new hires,

updating employee status, managing wage adjustments, handling terminations, and

submitting Records of Employment (ROE).

• Maintain accurate and current employee data in the ADP system.

• Address and investigate inquiries and discrepancies related to payroll and time and

attendance.

• Handle year-end reconciliation for payroll and file necessary reports such as T4, T4A’s, and

the EHT annual return.

• Provide training and support to Supervisors and Managers on ADP Time and Attendance,

Scheduling, and Analytics modules.

• Investigate and manage wage subsidy initiatives.

Accounting

• Manage vendor records, input invoices, review statements, and ensure reconciliation of

accounts.

• Organize and file all accounting documents while overseeing record retention.

General Human Resources Administration

• Draft and deliver employment contracts to new and rehired employees.

• Administer time-off policies and ensure accurate payment for paid time off.

• Introduce electronic onboarding, collecting all necessary documentation for new hires.

• Develop various forms, spreadsheets, and templates as required.

• Research and manage employee communication boards.

• Assist the HR Manager in HR-related communications.

• Contribute to researching, designing, and implementing new HR programs and initiatives.

• Assist in organizing employee engagement events, such as Staff BBQ, Christmas party, and

staff appreciation lunches.

Employee Records

• Manage and safeguard employee records and files, ensuring strict adherence to

confidentiality protocols for both paper-based and electronic filing systems.

Training and Development

• Manage employee training records within ADP Workforce NOW.

• Assign and oversee all online training activities.

• Verify and maintain current certifications, arranging for additional training when needed.

• Modify and update training packages as necessary.

Health and Safety

• Serve as a certified member and secretary of the Joint Health and Safety Committee.

• Supervise the workplace inspection process.

• Monitor and post monthly accident statistics.

• Manage the health and safety communication boards.

• Identify workplace hazards as part of regular duties.

PREFERRED QUALIFICATIONS

• 5 years of experience as an HR administrator.

• At least 2 years of expertise in payroll processing, with the advantage of experience in ADP

Workforce Now.

• Knowledge of general accounting and accounts payable is an additional asset.

• Demonstrated strong business and financial acumen.

• Exceptional organizational skills, characterized by high attention to detail, and adept at

multitasking in a fast-paced environment.

• Superior verbal and written communication skills.

• Capable of meeting multiple deadlines and adept at task prioritization.

• Independent worker with a proactive approach.

• Adherence to confidentiality is a key strength.

• Strong interpersonal skills.

• Highly proficient in Microsoft Office applications including Word, Excel, PowerPoint, and

Outlook.

• Experience with Jonas Club Management Software is considered an asset.
