Humans of HR is working with an established organization in the financial services space to recruit a Portfolio Administrator to support its Private Client group.

This role is well suited to someone who enjoys being at the centre of client service and operations — ensuring accuracy, responsiveness, and a smooth experience for both clients and internal partners. You’ll work closely with Portfolio Managers and operational teams, providing reliable support that keeps everything running efficiently.

The Opportunity

As a Portfolio Administrator, you’ll play a key role in supporting private client relationships by managing administrative processes, responding to client needs, and ensuring operational details are handled with care. This is a hands-on role for someone who takes pride in being organized, detail-focused, and service-oriented.

Key Responsibilities

  • Supporting a high standard of service for private clients through timely, professional communication
  • Coordinating the setup, transfer, and closure of client accounts while following regulatory and compliance guidelines
  • Processing day-to-day administrative and transactional requests, including cash-related activity
  • Preparing tailored materials and presentations for client meetings and prospective relationships
  • Reviewing, researching, and resolving client questions and requests
  • Acting as a point of contact for external partners such as custodians and consultants
  • Maintaining accurate client information and documentation within internal systems and CRM tools
  • Partnering with internal operations teams to troubleshoot issues and meet client needs
  • Assisting with special projects and occasional client-facing initiatives or events

What You’ll Bring

  • 5–7 years of administrative experience in a professional services environment
  • 5–7 years of experience within investment management or financial services
  • Familiarity with custodian platforms and processes is strongly preferred
  • Advanced working knowledge of:
  • Microsoft Excel
  • Microsoft Word (including formatting and document control)
  • PowerPoint (building and editing presentations)
  • Outlook
  • Adobe Acrobat
  • Experience working with CRM systems such as Salesforce is considered an asset
  • Completion of, or progress toward, the Canadian Securities Course (CSC) is an asset
  • Enrollment in the CSC will be required following the probationary period
