Description
We’re looking for a highly organized and detail-oriented coordinator to support our product development and purchasing operations. This is not a traditional supply chain or systems-heavy role — instead, it’s hands-on, fast-paced, and communication-heavy, supporting tight timelines and managing vendor relationships from purchase order to shipment.
Key Responsibilities
- Issue purchase orders and send to suppliers via email.
- Coordinate and negotiate delivery timelines with suppliers based on customer needs.
- Maintain up-to-date production specifications and ensure all supplier documentation is accurate and complete.
- Proactively follow up on outstanding materials (e.g., artwork, packaging, testing) to keep production moving.
- Communicate daily with overseas suppliers to monitor order progress and resolve issues early.
- Maintain order tracking documents and ensure accurate PO updates until shipment.
- Provide clear critical path/timeline updates to internal teams and flag any risks to deadlines.
- Approve and manage pre-production and production samples; track testing and compliance results when required.
- Perform basic QA reviews of product samples or shipments upon arrival, as needed.
- Work closely with operations and category management to ensure order data is accurate and deadlines are met.

- Exceptionally organized, with the ability to juggle multiple deadlines across many projects.
- Strong communicator — comfortable sending clear, professional emails and following up with vendors as needed.
- Detail-oriented and proactive — you catch things before they become problems.
- Able to work independently while keeping the broader team informed.
- Comfortable using Excel to track data (basic skills like sorting, filters, and formulas).
- Calm under pressure and committed to high-quality work, even when timelines are tight.
Qualifications
- 2+ years experience in a coordination, production, or procurement-related role.
- Previous experience in fashion accessories, consumer goods, or vendor-based product roles is a strong asset.
- Strong written and verbal communication skills.
- Excellent time management, prioritization, and follow-up skills.
- Proficient with Microsoft Excel and other basic office tools.
