We are seeking a Proposal Specialist to join our office. In this role, you’ll take the lead on proposal efforts while also supporting broader marketing initiatives that tell our story and strengthen our presence in the industry.

What You’ll Do

  • Lead the full lifecycle of proposal submissions—from interpreting RFP requirements to final delivery.
  • Develop and manage timelines, internal reviews, and production schedules to meet deadlines.
  • Collaborate with partners, architects, and sub-consultants to gather, refine, and synthesize content.
  • Write and edit project descriptions, team bios, and firm overviews that showcase the depth and quality of our work.
  • Coordinate with external teams (engineering consultants, cost estimators, etc.) to assemble complete and compliant submission packages.
  • Maintain a library of proposal materials, templates, project data, and resumes.
  • Support broader marketing efforts, including award submissions, project photography, presentations, holiday cards, and communications.
  • Manage and update firm social media channels and website content on an ongoing basis.

What You Bring

  • A degree or diploma in Marketing, Communications, Architecture, or a related field.
  • 4–8 years of proposal or marketing experience in an AEC environment.
  • A track record of crafting winning proposals for public-sector, institutional, and commercial projects.
  • Familiarity with Ontario and Canadian procurement frameworks and bidding platforms (BPS, Infrastructure Ontario, municipal RFPs, Bids & Tenders, MERX, etc.).
  • Outstanding writing and editing skills, with the ability to transform technical content into compelling narratives.
  • Proficiency in Adobe InDesign and Microsoft Office Suite; experience with project management tools is an asset.
  • Strong organizational skills, attention to detail, and the ability to manage competing priorities under tight deadlines.
  • Solid understanding of architectural workflows and terminology (required).
