The Role
Cutler is seeking a Proposals & Procurement Coordinator to support our growing practice by leading proposal coordination and production efforts and overseeing procurement activities across active projects.
This role plays a critical part in ensuring proposals are organized, on time, and consistently high quality, while centralizing procurement processes and vendor coordination. The position requires strong ownership, sound judgment, and the ability to work independently while partnering closely with firm leadership, designers, and project managers. This is an in‑office role, based in our Vancouver studio.

Key Responsibilities
Proposal Coordination & Production
- Lead the coordination of RFPs from start to submission, managing intake, requirements, schedules, and deliverables
- Draft, edit, and refine proposal narratives, tailoring content to project requirements and client priorities
- Assemble and review graphics and layouts, including bios, project sheets, covers, and supporting visuals, ensuring accuracy and brand consistency
- Own and maintain proposal templates and a content library, proactively improving clarity, efficiency, and quality over time
- Coordinate input from principals, designers, and project teams; drive internal reviews and approvals to meet deadlines
- Track pursuits, deadlines, and submission outcomes, using insights to continuously improve proposal processes
Procurement Coordination
- Oversee procurement coordination across projects, including issuing and tracking purchase orders
- Serve as a primary point of contact for vendor and supplier coordination
- Maintain accurate vendor lists, pricing, and lead‑time information, providing clear visibility to project teams and leadership
- Support FF&E and materials procurement, anticipating needs and resolving issues proactively
- Prepare cost comparisons and contribute to basic vendor pricing discussions
- Establish and maintain standardized procurement documentation to improve efficiency, consistency, and transparency
Qualifications
- 5+ years of experience in proposals, procurement, marketing coordination operations, or project coordination
- Experience in architecture, interior design, construction, or professional services
- Excellent writing and editing skills, with the ability to translate technical input into clear, client‑facing narratives
- Demonstrated ability to manage complex workflows with minimal direction
- Strong organizational skills, attention to detail, and deadline management
- Clear, confident communicator comfortable working across teams and with vendors
- Proficiency with Microsoft Office and CRM software
