THE ROLE
As the first point of contact for all visitors, clients, team members, you will play an important role in creating a positive and elevated client experience. Your primary responsibilities will include greeting and assisting visitors and clients, managing, and directing phone calls, handling inquiries with professionalism and accuracy and processing client payments.
You have excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment.
WHAT YOU’LL DO:
- Most importantly, you will lead by example, live our values, and drive business relationships for the company by providing exceptional customer service.
- Serving as the first point of contact for all visitors, clients, and colleagues, creating a positive and professional experience that reflects our values.
- Provide clients and visitors with prompt service, responding to inquiries professionally via phone, email, or in person, providing accurate information and support as needed.
- Manage incoming calls on the multi-line phone system, screening, redirecting to the appropriate team or department, and providing clients with the information they need.
- Process client payments, accurately log transactions into broker management system, create receipts and maintain proper documentation of all transactions.
- Maintain an organized reception area and proactively manage office supplies and liaise with vendors as needed.
- Handle inbound/outbound mail, including priority post, packages, courier services, and other forms of correspondence.
- Support internal events, manage boardroom scheduling and coordination support.
- Contribute to a positive work environment by maintaining professional, collaborative relationships with colleagues.
- Other duties as required.
WHAT WE REQUIRE:
- Demonstrated experience delivering exceptional customer service;
- Restricted Auto License or willingness to obtain;
- Excellent interpersonal and communication skills, both written and verbal.
- Strong attention to detail and commitment to understanding and meeting client needs.
- Strong organization skills with the ability to manage a high volume of calls and prioritize requests.
- Punctual and dependable, with strong time management skills.
- Proficiency in Microsoft Office applications.
- Experience with internal Broker Management Systems (EPIC) considered an asset.
