Job Title:
Senior Contract Administrator – Temporary Full-Time (1-Year Contract)
Work Arrangement:
Hybrid – Primarily office-based with up to 3 remote days/week (as approved). Remote work must be performed in Ontario. Occasional short-notice onsite presence may be required.
Hours:
35 hours/week.
Location:
North York, ON (occasional travel within the Greater Toronto Area).
Role Overview:
We are seeking Senior Contract Administrators (SCAs) to support a major transit organization’s Commercial Management Department. This role will focus on post-award contract activities in the Construction Services category, ensuring compliance with contract terms, managing changes and claims, and providing commercial and administrative support to project teams.
Key Responsibilities:
- Coordinate post-award contract administration activities in the Construction Services category.
- Review, interpret, and analyze contract requirements and documentation to ensure compliance and mitigate risks.
- Attend kick-off and progress review meetings to align stakeholders on contractual terms.
- Enforce contractual obligations, assist in negotiations, and resolve disputes or claims.
- Maintain accurate contract records in the Contract Management System (CMS).
- Monitor contract progress, prepare status reports, and track key performance indicators (KPIs).
- Evaluate and negotiate contract changes, claims, and amendments, including cost and schedule impacts.
- Administer payment processes, including invoice verification, statutory holdbacks, and final settlements.
- Support procurement processes (RFQs, RFPs, RFS, NRFPs, RFIs, NOIs, pre-qualifications, and contracts).
- Prepare commercial documentation and special commercial conditions for solicitations.
- Ensure compliance with relevant laws, including the Construction Act, industry standards, and internal policies.
- Participate in performance reviews and contract close-outs.
Qualifications & Experience:
Required:
- Minimum 3 years of experience in Contract Administration and/or Procurement in public or private sector.
- Strong knowledge of construction administration, contract changes, scheduling, delays, and claims management.
- Experience with quantity take-offs and cost estimation for multiple trades.
- Sound judgment, problem-solving, organizational, and negotiation skills.
- Proficiency with MS Office and contract management systems.
- Knowledge of Construction Act, construction practices, codes, and regulations.
- Understanding of union and trade agreements.
- Ability to multi-task, prioritize, and work independently with minimal supervision.
Education:
- University degree or College diploma in Construction Management, Engineering, or related field; or equivalent combination of education, training, and directly related experience.
Assets:
- Knowledge of Ontario Human Rights Code and accessibility requirements.
- Familiarity with procurement in large-scale infrastructure projects.
Contract Term:
- Duration: 1 year, possible 2-year extension in 1-year increments
