The Workplace Coordinator is the heartbeat of our 10,000 sq ft, award‑winning office in Montréal’s historic RCA Building. You’ll keep the space running at peak efficiency and comfort, champion venture‑driven culture, and deliver seamless support to a 50‑plus‑person team, visiting founders, and investors. The role blends facilities management, event production, and executive‑level administration. You’ll work independently with minimal oversight and thrive on the variety and pace of an early‑stage investment firm.

Salary

$60,000-$90,000 per annum, commensurate with relevant work experience and professional qualifications.

Key Responsibilities

Space & Facilities

  • Maintain a safe, secure, and impeccably organized 10,000 sq ft workspace.
  • Proactively optimize layout, equipment, and processes to maximise productivity and guest experience.
  • Oversee day‑to‑day office operations — mailing, shipping, supplies, kitchen, and equipment.

Events & Culture

  • Own end‑to‑end logistics for on‑site and off‑site events: speaker series, demo days, investor meetings, and other socials.
  • Partner with leadership to nurture our investment and venture culture.

Vendor & Financial Management

  • Manage relationships with all suppliers, service providers, and the landlord.
  • Track, reconcile, and code invoices; collaborate with Finance to ensure timely payments and accurate budgets.

Executive & Team Support

  • Coordinate complex calendars, meeting schedules, and travel for executives, staff, and guests.
  • Welcome and onboard new employees and visitors, ensuring they have every tool they need from day one.

Requirements

  • Demonstrated ability to juggle multiple priorities, adapt quickly, and solve problems with limited guidance.
  • Strong technical toolkit: G Suite mastery plus familiarity with workplace platforms and basic invoice / expense software.
  • Experience negotiating with vendors, tracking purchase orders, and reconciling invoices.
  • Impeccable written and verbal communication; full professional fluency in French and English (Spanish an asset).
  • Detail‑oriented, resourceful, and proactive mindset with a knack for continuous improvement.
  • Proven success managing facilities or office operations in a fast‑paced, professional environment (50+ staff) is an asset.
