We’re looking for an experienced and entrepreneurial Executive Assistant for our well-respected client, a consulting firm serving high-net-worth individuals. The CEO is a dynamic entrepreneur and respected leader in the financial wealth industry in North York. In this newly created role, the Executive Assistant will provide comprehensive support to a busy Founder/CEO and VP. The ideal candidate brings exceptional communication and organizational skills, impeccable attention to detail, and thrives in an entrepreneurial, fast-paced environment. This role requires someone highly experienced, proactive, and resourceful, able to anticipate the needs of the CEO and VP while managing competing priorities with discretion and confidentiality. This is a hybrid position with in-office expectations and travel requirements.
Executive Assistant responsibilities:
- Manage complex and dynamic calendars for the CEO and VP, including scheduling meetings, calls, and appointments, while anticipating and resolving conflicts
- Coordinate domestic and international travel, including itineraries, accommodations, transportation, and logistics
- Travel with the CEO and VP to events, conferences, and meetings as required
- Serve as the primary communication liaison for internal and external stakeholders
- Follow internal processes across the group of companies to ensure sales flow is maintained and communicated
- Screen and prioritize all incoming emails, calls, and meeting requests
- Provide strategic support on sales processes, special projects, research, reports, and presentations
- Coach and mentor Executive Assistants within the group of companies on best practices
- Maintain strict confidentiality and handle sensitive information with discretion
- Build and maintain strong relationships with clients, executives, and key stakeholders
The successful candidate has:
- A minimum of 5+ years of experience supporting an entrepreneur and/or CEO
- Experience in sales, investment, or the financial industry (required)
- Strong proficiency with CRM platforms, Microsoft Office Suite, QuickBooks, and DocuSign
- Exceptional organizational and time-management skills
- Outstanding written and verbal communication skills with strong business acumen
- High level of discretion, professionalism, and customer service orientation (willing to sign an NDA)
- Flexibility, accountability, and an entrepreneurial mindset
- Ability to work in a hybrid capacity in North York, ON
- Ability to travel quarterly within Canada and internationally with the CEO and VP
Compensation and benefits:
- The discussed salary range is $85,000, depending on experience
- Candidates with additional experience and higher compensation expectations may also be considered
