Peel Children’s Aid Foundation (PCAF) raises critical funds to support innovative and urgently needed programs and services for the most vulnerable children, youth, and families in the Region of Peel. As the fundraising arm of Peel Children’s Aid Society, we partner with the agency and the Peel community to provide safety, stability, and opportunity so that every child has the chance to thrive.

As we continue to evolve, we are seeking a highly organized, proactive Administrative Associate to support the CEO/Executive Director and the Foundation’s administrative systems, operations, donor processes, and financial documentation.

Position Summary

The Administrative Associate plays a key role in the day-to-day functioning of the Foundation. This role provides administrative and operational support across the organization, including donor processes and basic finance tasks, in collaboration with the Foundation’s accountant and leadership team.

This position is ideal for someone who thrives in a mission-driven environment, is detail-oriented, and is comfortable supporting multiple functions within a small but high-impact team.

Key Responsibilities

Administration & Operations

  • Provide administrative support to the CEO/Executive Director and Foundation team.
  • Maintain organized digital and physical filing systems.
  • Support scheduling, meeting preparation, and document management.
  • Handle general inquiries and provide front-line support to staff, donors, partners, and stakeholders.
  • Assist with vendor coordination, event logistics, and operational workflows.
  • Support internal processes by developing and maintaining administrative procedures.

Donor & Database Support

  • Assist with donor gift processing, data entry, and acknowledgement letters.
  • Maintain accurate donor records in the donor management system.
  • Support donor stewardship activities, including preparing materials and reports.
  • Assist with event registration, manage guest lists, and coordinate onsite or offsite logistics.

Finance & Documentation Support

(In collaboration with the Foundation’s accountant)

  • Process invoices, payments, and expense submissions.
  • Prepare bank deposits and support reconciliation documentation.
  • Maintain financial files and ensure records are audit-ready.
  • Assist with generating basic financial reports and responding to information requests as needed.

Qualifications

  • 2+ years of experience in administration, operations, or office support roles (nonprofit experience an asset).
  • Strong organizational skills, attention to detail, and ability to manage competing priorities.
  • Basic understanding of bookkeeping or financial processes (QuickBooks, Excel an asset).
  • Experience with donor databases (DonorPerfect considered an asset).
  • Experience supporting senior leadership in a nonprofit or small organization environment is considered an asset.
  • Strong written and verbal communication skills.
  • High proficiency with Microsoft Office 365 and cloud-based systems.
  • Ability to handle sensitive and confidential information responsibly.
  • Comfortable working independently within a small team environment.
