Role Description The Administrative Assistant with law firm experience for Spectrum Family Law at Taylor Janis Workplace Law LLP is a full-time, on-site role based in Vancouver. This role supports lawyers and legal staff with daily administrative tasks, including managing calendars, scheduling meetings, organizing client files, and preparing routine correspondence and documents. Responsibilities include answering and directing phone calls, greeting visitors, handling incoming and outgoing mail, and maintaining accurate records and filing systems. The Administrative Assistant will assist with billing and invoicing processes, data entry, and document formatting, while ensuring confidentiality and adherence to firm procedures. Qualifications
- Strong Administrative Assistance and Clerical Skills, including scheduling, file management, data entry, and document preparation.
- Professional Phone Etiquette and Communication skills for interacting with clients, colleagues, and external partners.
- Experience providing Executive Administrative Assistance to legal professionals or senior leaders in a law firm or professional services environment.
- Prior experience working in a law firm or legal setting, preferably with family law or workplace law exposure.
- Proficiency with office productivity software (e.g., MS Office suite) and ability to learn legal case management or billing systems.
- Strong attention to detail, organization, time management, and ability to handle multiple tasks and deadlines.
- Commitment to confidentiality, professionalism, and respectful, inclusive interactions with clients and colleagues.
- Relevant post-secondary education or training in office administration, legal administration, or a related field is an asset.
