The Job!
The Administrative Project Coordinator provides high-level administrative and operational support to three Directors. You will:
- Review and evaluate office procedures with a focus on innovation, efficiency, and continuous improvement; recommend and implement enhancements as appropriate
- Manage schedules and coordinate departmental meetings, special events, and offsites, including logistics, room bookings, invitations, notices, and catering
- Provide financial and administrative support, including budgeting assistance, expense tracking, and invoice processing
- Prepare and process requisitions, releases, invoice payments, expense reports, and monthly operating expense tracking
- Establish and maintain strong working relationships with internal and external stakeholders
- Collaborate closely with the Executive Assistant, receiving direction and providing support on department-wide projects and initiatives
- Respond to internal and external requests for assistance, directing inquiries appropriately
- Maintain departmental records using SharePoint and other records retention systems in accordance with company policy
What you bring to the job
You are someone with strong organizational, time-management, and prioritization skills and maintain a high level of discretion and professionalism with confidential information. You also come with:
- Completion of secondary school, or an equivalent combination of education and relevant experience
- Minimum of 3 years of office administration experience supporting a senior-level office
- Demonstrated experience working in a customer-centric environment
- Strong communication, organization, and time-management skills
- Ability to obtain and maintain Transportation Security Clearance
