Our client, a prestigious international law firm, is currently seeking a Senior Executive Assistant to provide high-level support to a C-Suite Executive in their Calgary office. This is a unique 18-month contract opportunity for a dynamic professional who thrives in fast-paced, high-demand environments.

This role is central to the smooth operation of the executive office, requiring someone who is proactive, highly organized, and excels at managing competing priorities with professionalism and discretion. You’ll serve as a trusted partner to executive leadership, offering strategic and administrative support that drives organizational success.

Key Responsibilities

  • Represent and act as a key ambassador for the C-Suite Executive’s office—ensuring positive engagement with internal and external stakeholders.
  • Provide comprehensive executive-level support, including calendar and schedule management, correspondence, travel planning, expense reporting, and invoice reconciliation.
  • Handle high-volume communications and information flow—screening requests, delegating responses, and managing sensitive information with discretion.
  • Prepare meeting materials, presentations, reports, and documentation for executive review, board meetings, and other senior engagements.
  • Collaborate across departments to collect data, coordinate communications, and deliver timely reporting for leadership teams.
  • Anticipate the Executive’s needs and provide briefing materials, recommendations, and background research ahead of meetings and events.
  • Manage and coordinate special projects, committee materials, and internal initiatives to support executive priorities.
  • Support event coordination, including travel arrangements, meeting logistics, and executive dinners, in partnership with the wider EA team.
  • Attend meetings and engagements as a representative or support to the Executive, as required.

Qualifications & Skills

  • Post-secondary education in Business, Management, or a related field is required.
  • Minimum 5–7 years of senior-level administrative or executive assistant experience, preferably within a corporate or professional services environment.
  • Superior written and verbal communication skills, with an ability to exercise diplomacy, tact, and professionalism.
  • Strong organizational skills and a high level of attention to detail, with the ability to manage multiple priorities.
  • Proven ability to work independently and collaboratively in a team-oriented culture.
  • Discretion and sound judgment when handling confidential and sensitive matters.
  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and strong comfort with online research and communication tools.
  • Event coordination experience is considered a strong asset.
  • French language skills are an asset, but not required.

Additional Details

  • Schedule: 8:00 AM – 4:00 PM (Full-time, in-office); some pre-authorized overtime and schedule flexibility may be required.
