ABOUT THE ROLE
This is a highly trusted, hands-on role supporting a high-net-worth couple in managing the full scope of their personal and professional lives. You will be the operational backbone across household management, renovation projects, financial and legal coordination, travel, and whatever else comes up.
This is not a corporate EA role. You will be working directly with principals who move fast, think independently, and need someone equally sharp to keep everything running without being asked twice. The work spans personal operations and the administration of a family office and venture portfolio, requiring someone equally comfortable coordinating a home renovation and tracking an investment.
WHAT YOU’LL DO
Financial, Legal & Administrative Coordination
• Serve as the connective tissue between the principals and their professional advisors including
accountants, lawyers, financial advisors, and insurance brokers
• Support the administration of a family office and venture investment portfolio, including tracking angel investments, managing deal-related paperwork, and liaising with financial and legal advisors on investment matters.
• Drive projects forward by following up on deadlines, gathering and routing documents, and making
sure nothing stalls
• Support high-stakes, paperwork-heavy processes including visa applications, name changes, and
license and passport transfers
• Track and file angel investments appropriately
Household & Property Management
• Coordinate maintenance and operations across residential properties
• Manage ongoing relationships with service providers including landscapers, HVAC, pest control,
electricians, and IT vendors
• Ensure properties run smoothly and proactively flag and resolve issues before they escalate
Contractor Coordination & Renovation Projects
• Work closely with a longtime general contractor on an active pipeline of renovation and construction
projects across the properties
• Track invoices and receipts for building materials, scope individual jobs, research and source
products, and keep projects on schedule
Travel & Event Planning
• Book and coordinate travel including flights, hotels, restaurant reservations, and car rentals
• Plan and organize events such as vacations, family gatherings, birthday parties, and ski trips
Personal Logistics & Ad Hoc Support
• Handle recurring tasks such as flower deliveries and gift sourcing for birthdays and holidays
• Research products, services, and vendors on demand and return with clear, actionable
recommendations
• Take on the long tail of smal, unpredictable tasks that come up week to week and need a reliable
person to own them
WHAT WE’RE LOOKING FOR
Highly organized and financially capable
• Comfortable managing many concurrent work streams across a wide range of domains without losing
track of anything
• Comfortable with numbers and financial administration — able to track spending, reconcile receipts,
and flag discrepancies. Financial access expands as trust is established, and this capability will matter
Proactive and high-agency
• Takes ownership of projects from start to finish without requiring direction at every step
• Comfortable chasing external parties including accountants, lawyers, contractors, and vendors to
move projects forward
• Wiling to negotiate with vendors and service providers and motivated to develop that skill over time
Resourceful with strong judgment
• Able to independently research unfamiliar and often complex topics and return with clear, actionable
recommendations
• Strong instincts for when to act independently, when to escalate, and how to prioritize competing
demands
• Genuinely curious and motivated to continually improve how you work — always looking for ways to
streamline, automate, and optimize rather than just repeat
Excellent written communicator
• A significant portion of the role is conducted over email. Writes clearly and professionally and adjusts tone appropriately for legal, financial, household, and family contexts
• Discreet and trustworthy
• Handles sensitive personal, financial, and legal information with the highest level of discretion
Strong interpersonal skills
• Acts as a representative of the principals in external communications and conducts every interaction
with professionalism and care
• Approachable and collaborative with the ability to build positive working relationships across a wide range of people
NICE TO HAVE
• Fluency in French, Czech, or Russian in addition to English
COMPENSATION & BENEFITS
This role offers a competitive compensation and benefits package, including:
• Salary up to $100,000 CAD depending on experience
