EXECUTIVE ASSISTANT to Three SVPs:

Base Salary 85,000-95,000 with a Terrific Bonus, a Robust Pension Plan, Immediate Full and Extensive Benefits (100% employer paid), 3-4 Weeks of Vacation and Employee Perks/Development!!!

This a HYBRID role and you will be required to work in the office three days per week. The office is close to Union Station.

The OPPORTUNITY is with a client that is a stable and well-established organization. The organization is seeking an Executive Assistant to support three SVPs who are extremely collaborative and all work in the same division. The Executives are looking for a long-term partnership with their EA. The Executives want an Executive Assistant with initiative, strong interpersonal skills, excellent attention to detail and the ability to manage extremely confidential information. In this role, you will manage complex and ever-changing calendars, action emails, create and prepare executive level correspondence, documentation, reports and presentations as well as plan travel. This is an exciting role for an experienced and highly capable EA who thrives in a busy and collaborative environment!

Responsibilities include:

  • Manage complex and constantly changing calendars, schedule meetings and ensure that Executives are made aware of last-minute changes
  • Ensure Executives have all meeting materials in advance of meetings
  • Anticipate the needs of the Executives and manage competing priorities
  • Manage emails from busy inboxes and flag urgent emails/requests
  • Book travel (flights, hotel and car service) and provide a detailed itinerary
  • Draft and edit correspondence for internal and external stakeholders
  • Prepare reports and presentations for high level/ Executive meetings
  • Plan department meetings and meetings with direct reports (ensure all meeting material is organized and ready in advance of the meeting), attend meetings as required, create agendas etc.
  • Prepare and submit detailed expense reports, ensuring accuracy
  • Interact with external parties, act as an extension of the Executives with external stakeholders and direct reports
  • Review and manage confidential information/correspondence with absolute discretion

Qualifications:

  • Previous experience (6+ years) supporting multiple Senior level Executives in a fast-paced environment
  • Excellent time management skills with the ability to multitask and manage competing priorities
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
  • Completion of post secondary education is a definite asset
  • Enjoys building relationships and collaborating with a variety of stakeholders
  • Accurate and detail-oriented with a proactive and resourceful mind-set
  • Strong interpersonal skills combined with professional written communication skills
