POSITION SUMMARY
We are seeking a highly organized, detail-oriented, and resourceful Executive Search Coordinator to support our Executive Search practice. This role will provide vital project coordination, client and candidate communication, and research support to ensure smooth and effective search processes.
This part-time contractor position is ideal for someone with strong project management skills, exceptional communication abilities, and a background in recruitment or executive-level administration who brings a high degree of accuracy, professionalism, and accountability to executive search projects.
RESPONSIBILITIES AND DUTIES
- Serve as a project coordinator to support the search consultants in organizing and managing the client team and candidates through coordination of all search project efforts.
- Draft, format, and proof client facing documents and communication to support the search process such as candidate presentations, executive briefs, job advertisements, confirmation letters, contracts, interview schedules, offer letters, and reference reports.
- Ensure the client and candidates receive what they need, at the right time, and have access to all documentation they need to be successful in their search project.
- Act as a key liaison between client and candidates, arrange client/candidate interviews and foster positive client/candidate relations.
- Maintain a strong understanding of applicant tracking systems to capture candidate and client information for search updates and continued correspondence.
- Manage advertising programs for active searches, review pricing and budgets for ad programs.
- Identify prospective candidates through targeted company research, industry sources, relevant prior searches, and internal sources.
- Document standard operating procedures, templates, and best practices for search projects.
THE SUCCESSFUL CANDIDATE WILL HAVE
- Minimum of four years of executive level administrative support experience is required.
- Executive search firm or Recruitment agency experience is preferred.
- Experience using LinkedIn recruiter, job boards, and other networking tools to actively source candidates.
- Highly developed conceptual skills; able to synthesize information quickly; understands various industries and functions; and able to present material in an organized and clear manner.
- Excellent interpersonal and communication skills to effectively communicate with candidates and clients.
- Exceptional written communication skills.
- Values diversity, equity, and inclusion, experience developing diverse talent pipelines.
