Role Overview:
We are looking for an Operations Automation Specialist (AI Specialist) to design, build, and maintain the automated systems that run our business. You will work across Salesforce, Clay, Apollo, and Zapier to eliminate manual work, accelerate response times, and make our internal processes run without human intervention.
The scope covers the full operations stack: outbound prospecting, inbound lead handling, Salesforce data management, sample and quote request workflows, internal approval flows, and forecasting pipelines. If a human is doing something repetitive today, you will find a way to automate it.
Key Responsibilities:
Outbound & Prospecting Automation
· Design and operate AI-driven prospecting pipelines that identify, enrich, score, and engage ICP-fit accounts with minimal human input
· Use AI to generate personalized outreach copy, research summaries, and account context at scale
· Build enrichment workflows that combine multiple data sources into clean, research-rich prospect records pushed directly into the CRM and outreach platforms
· Run autonomous sequences and A/B tests, with engagement data flowing back into the CRM for continuous learning
Inbound Lead Response Automation
· Build AI workflows that read, classify, and respond to inbound leads within minutes — no manual triage
· Route leads to the correct rep, territory, or queue automatically based on company size, industry, intent, and source
· Enrich inbound records with AI-generated research before they ever reach a human, so reps receive fully briefed leads rather than raw form fills
· Trigger intelligent follow-up sequences when leads go cold, respond to specific signals, or take high-intent actions
Internal Operations & Request Workflows
· Automate sample request processing end-to-end: capture, inventory check, approval routing, and fulfillment notifications
· Build quote and estimation workflows that pull account data, apply pricing logic, and generate AI-assisted drafts for rep review
· Surface the right information to the right person at the right moment through automated internal notifications — deal stage changes, overdue tasks, approval requests
· Automate recurring reporting so weekly pipeline summaries, activity logs, and ops metrics compile and distribute themselves
Forecasting, Reporting & Pipeline Visibility
· Build dashboards that give leadership real-time visibility into pipeline health, stage conversion, and forecast accuracy
· Set up automated forecast reminders and data validation checks so pipeline data stays current without manager follow-up
· Connect pipeline data to estimation and capacity planning so delivery timelines are informed by live signals
CRM Administration & Automation
· Own the CRM as the system of record — configure fields, objects, validation rules, layouts, and permissions
· Build and maintain automated flows for data entry, field updates, task creation, and record routing
· Eliminate manual data entry by populating records from enrichment tools, web forms, email replies, and API triggers
· Design lead scoring, lifecycle transitions, and assignment rules so records always reach the right owner at the right time
· Maintain data hygiene: deduplication, normalization, and decay prevention
Digital marketing support as needed.
Qualifications:
· 2–5 years in ops, sales ops, or automation; able to build flows, configure systems, and manage data without developer support
· Hands-on experience embedding AI (Claude, ChatGPT, or equivalent) into production workflows to generate, classify, or transform content
· Proven experience building multi-step, conditional workflows that connect four or more tools in a live environment — including enrichment, scoring, and sequence triggers
· Working knowledge of CRM, sales engagement, and enrichment platforms (Salesforce, Apollo, Clay, Zapier, or equivalents)
· Process-first mindset: you map workflows before you build them and document what you create
· Strong communicator who can explain automations to non-technical stakeholders
Nice to Have:
· Salesforce certification
· Background in a sales, SDR, or customer-facing ops role — you’ve lived the manual processes you’ll be automating
· Graphic and web design experience (Adobe Suite, Photoshop, Figma)
· Digital marketing tools experience (Brevo, GA4, Google Ads, Ads, Meta Ads)
