The Role

We are looking for a highly organized and proactive Operations Coordinator to support business operations. Working directly with leadership, you will keep the business running smoothly — managing day-to-day operations, sales support, and administration — supporting building partnerships, closing deals, and overall business management and growth.

This is a hands-on role for someone who thrives on bringing order to a fast-moving environment, anticipates what needs to happen next, and closes loops without being asked. It is ideal for a self-starter who wants to grow into a broader operations leadership position as the company scales.

This is a full-time, on-site position based in our Etobicoke, ON office.

What you’ll do

  • Own CRM and sales pipeline tracking, ensuring every deal, partner conversation, and follow-up stays on schedule
  • Coordinate scheduling and communications across multiple time zones with prospects, partners, and the leadership team
  • Prepare and format professional business materials — presentations, proposals, and one-pagers — from provided inputs
  • Conduct prospect and account research to support business development efforts
  • Manage and triage inbound communications, drafting routine correspondence as needed
  • Handle back-office administration including invoicing, expense tracking, document management, and vendor/contractor coordination
  • Build and continuously improve internal systems and processes as the company grows
  • Provide direct operational support to leadership, removing logistical friction so they can focus on sales and strategy

What we’re looking for

  • 3+ years of experience in operations, executive support, business coordination, or a similar role (startup or fast-paced environment an asset)
  • Exceptional organization and follow-through — you take problems off others’ plates and see them to completion
  • Strong written and verbal communication skills
  • Tech-fluent and comfortable with CRM, calendar, and document tools (Google Workspace and/or Microsoft Office); familiarity with automation tools is a plus
  • Self-directed and comfortable navigating ambiguity and shifting priorities
  • Sound judgment and discretion when handling confidential business information
  • Post-secondary education in Business, Operations, or a related field is preferred but not required
