Job Title: Payroll Specialist
Location: Montreal, Quebec
Reporting to: Vice President, Talent and Culture
We are looking for a Canada & USA Payroll Specialist who is ready to play a key role during a period of major transformation. Over the next two years, our organization will undertake a major initiative to optimize its HR and payroll processes, including the implementation of a new system set to launch in less than a year.
This position represents a unique opportunity to join a rapidly growing team, where your expertise will be leveraged to shape the future of the payroll function and evolve the role toward greater analysis, automation, and advisory responsibilities.
Job Summary
Reporting directly to the Vice President of Talent and Culture, the Senior Payroll Specialist is responsible for the comprehensive and compliant management of payroll activities for employees in Canada and the United States.
Key Responsibilities
- Process full payroll for hourly and salaried employees (Canada and the United States)
- Ensure compliance with tax laws and labor regulations (federal, provincial, and state)
- Manage deductions, benefits, vacation time, overtime, and bonuses
- Make government remittances and prepare required reports (T4, Relevé 1, W-2, etc.)
- Participate in U.S. payroll activities (validation, compliance, follow-ups)
- Collaborate with partners in the United States
- Participate in month-end and year-end closing (reconciliations, journal entries, follow-ups)
- Generate payroll reports and summaries.
- Implement improvements to payroll processes and systems.
- Collaborate with HR, Finance, and other internal departments on payroll-related matters.
- Collaborate with external organizations such as Service Canada and payroll service providers.
- Coordinate payroll activities with operations and accounting
- Serve as a point of contact for payroll and benefits for both employee and manager inquiries
- Ensure the integrity and compliance of payroll data
- Actively contribute to rethinking, modernizing, and improving our practices.
- Maintain documented and rigorous processes
Qualifications
- High school diploma or college diploma in administration, accounting, or a related field
- 5 to 7 years of payroll experience
- Experience with Canadian and U.S. payroll systems is required
- Experience working in a multi-site environment
- Knowledge of payroll systems
- Strong understanding of tax and legal obligations
- Attention to detail, independence, and ability to prioritize
- Fluency in English and French, both spoken and written
- Advanced intermediate proficiency in Excel
- Payroll certification (ACP, PCP) (a plus)
- Knowledge of ADP Workforce Now (a plus)
