Alongside our team of 180+ members spanning Media Buyers, Copywriters, Content Managers, Landing Page Developers, Content Creators, Email & SMS Coordinators, CGC & Influencer Managers, we need a People & Culture Associate to support the execution of Pilothouse’s people programs, employee experience initiatives, benefits administration, people operations, reporting, and targeted recruitment support.

REQUIREMENTS

  • 1-2 years of experience in recruitment, administration, coordination, talent sourcing, people operations, or another people-focused support role.
  • Experience in a recruitment agency, HR coordination, administrative support, or fast-paced service environment is a strong asset.
  • Exposure to HRIS, ATS, onboarding, benefits administration, employee support, reporting, or people operations is an asset but not required.
  • Experience with AI tools such as Claude and ChatGPT is an asset.
  • Interest in building a long-term career in People & Culture is required.
  • Strong organization, follow-through, and attention to detail.
  • Clear and professional written communication.
  • Comfortable coordinating timelines, meetings, follow-ups, recurring workflows, and employee-facing touchpoints.
  • Comfortable using or learning tools such as Google Workspace, Slack, HRIS/ATS platforms, , Indeed, and spreadsheets.
  • Strong research skills and willingness to support sourcing, headhunting, and talent pooling.
  • Able to work with employee and candidate information with confidentiality, care, and discretion.

THE DAY-TO-DAY

  • Support the delivery of P&C programs that strengthen employee experience, engagement, performance, and culture.
  • Support program timelines, communications, participation tracking, follow-up, and administrative coordination.
  • Provide targeted recruitment support, including intake scheduling, job posting, sourcing, proactive headhunting outreach, talent pooling, ATS administration, recruitment reporting, and ad spend tracking.
  • Assist with engagement surveys, performance cycles, recognition initiatives, employee experience projects, policy rollouts, culture initiatives, and other P&C programs led by the Head of People & Culture.
  • Support consistent, employee-facing P&C touchpoints across the employee lifecycle.
  • Co-lead onboarding meetings and support new hire check-ins, benefits interactions, employee program participation, and assigned lifecycle touchpoints.
  • Support accurate and timely administration of benefits and core people operations.
  • Support HRIS updates, employee changes, routine P&C workflows, and benefits processes with accuracy and discretion.
  • Support reliable visibility into P&C activity, employee lifecycle data, recruitment activity, and program completion.
  • Maintain reporting inputs, HRIS/ATS reporting inputs, recruitment reporting, program tracking, dashboard inputs, and assigned people data.

ABOUT THE POSITION

Pilothouse is looking for a People & Culture Associate to support the execution of our people programs, employee experience initiatives, benefits administration, people operations, reporting, and targeted recruitment support.

This role ensures core people processes are coordinated, employee touchpoints are supported, and P&C priorities are executed with consistency and care.

This is designed for someone who is building foundational HR/P&C experience and will grow into the full role scope over the onboarding period as trust, capability, and business context develop.

The role is approximately 80% People & Culture support and 20% recruitment support.

This role reports to the Head of People & Culture.

Compensation: $45,000 – $55,000 CAD
