The Job!
You will be the administrative backbone of a busy recruitment practice, ensuring candidates, clients, and the consultant receive an exceptional experience throughout the recruitment process. You’ll play a key role in keeping searches organized while supporting the consultant with coordination, sourcing, and client communication.
- Manage interview scheduling and calendar coordination between clients, candidates, and consultants.
- Prepare and post engaging job advertisements across multiple recruitment platforms.
- Source qualified candidates using job boards, , and internal databases.
- Conduct professional reference checks.
- Communicate regularly with candidates and clients, providing updates and coordinating next steps throughout the recruitment process.
- You will maintain accurate records within the applicant tracking system and ensure documentation is up to date.
- Assist the consultant with search administration, interview coordination, offer preparation, and onboarding activities.
- Provide exceptional customer service while managing multiple competing priorities and deadlines.
What you bring to the job
You will come with previous experience supporting a busy recruitment team in an agency environment, exceptional organizational skills, and a passion for creating a positive experience for both clients and candidates.
- Post-secondary education preferred.
- 1+ years of recruitment coordination or recruitment administration experience within a recruitment agency.
- Experience using an Applicant Tracking Systems (ATS)
- Recruiter experience is considered an asset
- Microsoft Office Suite, particularly Outlook, Word, and Excel
- Exceptional organizational and time management skills
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Professional, polished, and customer-service focused
- Proactive with the ability to anticipate needs
